Topics Employer Receipt Search:  
Introduction: The Employer Receipt screen displays the payment received from Employer and TPA and displays the detailed breakup of amounts paid against each charge that was claimed.

Field Descriptions:

*Receipt Date: Displays the date on which the Employer Receipt was generated. By default, the system displays the current system date here but it can be changed by clicking on the calender icon. The default date format is 'MM-DD-YYYY'. It is a mandatory field. The Receipt Date cannot be greater than current day's date and if entered as such, then the system displays an alert message: Receipt Date greater than today's date.

Received From: Displays two options: Employer and TPA in the dropdown. If Employer is selected, the outstanding invoices for that Employer are displayed. TPA is displayed in the dropdown only if the property billing.use.tpa.receipt is turned On. It enables users to keep track of payments collected from TPAs separately from that of Employer Payments. If TPA is selected, then the Advance Utilization, Allocate Advance, Used Advance and Remaining Advance fields are disabled.

*Pay Mode: It is a mandatory field. This dropdown provides three modes of payment to accept Employer and TPA Receipts. The modes are as follows:
  • Check: This is the default option displayed in this dropdown. Select this option and click on the Show Details icon to enter the check details like Check No., Check Date and Bank in the Check Details popup.
  • Cash: Select this option if the amount for Employer Receipt is collected upfront.
  • Credit Card: Select this option when Employer/TPA receipt is received by credit card. Click on the Show Details icon to enter credit card details in the Credit Card Details popup. The details to be entered are Card No., Card Holder, and Card Type. Note that PayPros and Integrity are also supported.
  • Other Pay: Select this option and click on the Show Details icon to invoke the Other Payment Type Details popup and enter the payment mode details in the Other Type dropdown and Reference No field. The options displayed in the Other Type dropdown are Other, PAYPAL, HEALTHCARD, NETBANKING, CARECREDIT, EWALLET, EFT and ATH MOVIL. These options are governed by the property other.pay.modes and are displayed in the dropdown in the same sequence as mentioned in the property. If the property era.empreceipt.paymodes is left blank, then by default, the following options are displayed in the Other Type dropdown: Other, Paypal, Netbanking, PhonePay and Healthcard.
    User must add the transaction reference number in the Reference No field. The Reference No field supports alphanumeric values, special characters and has a maximum character limit of 30.
The sequence of options displayed in the Pay Mode dropdown is governed by the property era.empreceipt.paymodes.

Payment Fail Transaction Popup icon: The Payment Fail Transaction Popup icon appears next to the Credit button if:
  • You have the onlinePaymentStatusUpdate role or are an Admin (SA).
  • The system property prognocis.payment.gateway.interface is set to "F".
  • Payment Transaction has failed.
Click on this icon to invoke the Fail Transaction Details Popup which enables you to manage and update the status of failed transactions.

Online Payment Track Status: The Online Payment Track Status icon appears next to the Credit button if:
  • You have the onlinePaymentStatusUpdate role or are an Admin (SA).
  • The system property prognocis.payment.gateway.interface is set to "F".
Click on this icon to invoke the Online Payment Track Status popup which records the status of every payment processed via the payment gateway, whether successful or failed.

*Received Amt: Enter the amount which is received as the Employer Receipt or TPA Receipt. It is a mandatory field.

*Receipt No: The hyperlinked field displays an auto-generated receipt number. The length and prefix of this receipt number can be set using property era.empinvno.length and era.empinvno.prefix. Clicking on the Receipt No invokes the Employer Receipt - Last Update Details popup which displays all the modifications made on charge codes present on the respective vouchers.

Employer/TPA: If Employer is selected in the Received From dropdown then this field is displayed with the Employer label and the name of the Employer who the Employer Receipt was created for is displayed. This Employer can be changed by clicking on the Search icon. If the Employer is changed the details like Employer Balance and Advance are automatically updated. The Employer Notes icon beside the Search icon is enabled or disabled depending on if notes are present for the selected Employer. If TPA is selected in the Received From dropdown, then the Employer label is changed to TPA.

Employer Note icon: Displays the notes entered for the Employer on Employer Master in a popup. The character limit of this field is 1024. These notes are read only and cannot be edited. This icon becomes disabled if no notes are entered for the selected Employer on Employer Master or if TPA is selected in the Received From dropdown TPA Notes are not shown on Employer Receipt.

Post Date: Displays the date on which the Employer Receipt was posted if batch number is not attached, otherwise it displays the batch number date associated to it. This field becomes non-editable after the receipt is posted.

Allocated Amt: It is the amount that is allocated to claims selected in the invoice. The amount received from the Employer may or may not match the allocated amounts. So, in case the received amount is more than the allocated amount, the remaining amount is transfered to Employer Advance. On selection of invoice, there is a field named Allocated Amount. The entered allocated amount can be either equal or less than the Bill Amount it cannot be more than the Bill Amount.

Batch No: Batch number can be selected by clicking on the Assign Batch No icon. If the property billing.use.receipt.batchno is turned On then the receipt can be posted only if a batch number is assigned to it. If the property is turned Off then the receipt can be posted even if batch number is not assigned.

Comments icon : Users can click on this icon and add comments in the Employer Receipt Comments popup. These comments are displayed on the receipt on printing the Employer Receipt. This icon is always enabled.

Attach icon : Users can attach scanned documents to the receipt by clicking on this icon. This provides a way to keep track of PDF/document trail in reference to payments received. The allowed attachments are based on property era.attach.file.extn. If user tries to attach a document with an extension other than the ones specified in the property, then an error message: Only Specified Extensions Allowed: txt, pdf, tif, 835, rmt,era is displayed. The tooltip for this icon changes from Attach to Detach if a file is already attached.

View Attachment icon : User can view the attached file by clicking on this icon.

Note:
  • For Adjust Advance voucher, Attach and View Attachment icons are always disabled.
  • For Posted voucher, the Attach button is disabled.
  • For Entered voucher,the View Attachment button is disabled.
Status: Displays the status of the Employer Receipt i.e. either Entered or Posted.

Move to Advance: It is the amount remaining from received amount after deducting the allocated amount. TPA does not support Advance.

Allocate Advance: This field becomes hyperlinked only when the receipt is in Posted status. Clicking on the hyperlink helps in adjusting the advance. After allocating advance, AJADV voucher is created. Once the advance voucher is created, the save button becomes disabled and the re-open button remains enabled. On clicking the re-open button, a message: Reopen option is Not Applicable for Adjust Advance vouchers. Delete the voucher and adjust advances again to make necessary corrections on the account is displayed. On deletion of advance voucher, the Employer Balance is reset.

Used Advance: This field becomes hyperlinked only when the receipt is in Posted status. Clicking on the hyperlink gives detailed information about how the allocation of advance has been done.

Remaining Advance: Displays the remaining advance from a particular Employer Receipt.

Select Invoice Search : This icon becomes enabled when a new Employer Receipt is created. On click, this icon invokes the Emp Invoice popup with the following columns: Emp Name, Invoice No, Date, TPA Name, Job No, Enc Type, Bill Amt and Bal Amt. Upto 5 invoices can be selected at one time.

Select Claims Search : This icon becomes enabled when a new Employer Receipt is created. On click, this icon invokes the Billed To Employer Claims popup with the following columns: Claim ID, Patient, DOS, Provider, Employer, TPA Name and Bal Amt. Upto 20 claims can be selected at one time.

Patient Insurance : On click, invokes the Patient Insurance popup and allows the user to take a quick view at the patient's insurance details.

Patient Billing Notes: On click, invokes the Patient Billing Notes popup to add and display Patient Billing Notes.

Copay Details : On click, invokes Patient Payments popup where user can view or modify details, as required.

Claim Details : On click, redirects the user to the Edit Claims screen for the patient.

Claim Ledger : On click, invokes the Claim Ledger popup which displays payments against claims in a tabular format with details displayed in the following columns: Charge, Date, TrnType, Docno, From, BillAmt, PaidAmt, AdjAmt, W/OffAmt, NextResp, AppCopay$ and Comment.

Patient Statement : On click, invokes the Patient Statement popup which displays the generated statement of the patient.

Patient Account : On click, redirects the user to the Patient Account screen for the patient.

Claim Letter : On click, invokes the Claim Letter popup. Providers or Billers can send Assessment and Plans to the Referring Doctor through this icon. They also send letters to Patients and Insurance Companies.

Prev: This hyperlink helps users view the previous list of invoices on Employer Receipt screen. This option gets hyperlinked only after clicking the Next hyperlink to the left side of the Lookup hyperlink.

Lookup: On clicking this hyperlink, a Claims in Employer Receipt popup is invoked which displays a list of selected claims on the Employer Receipt screen. Users can set the number of invoices to be displayed on the Employer Receipt screen in the property era.claims.per.page. For example, if 5 is set in the propery then the screen display five invoices, and after that the Prev and Next hyperlnks are enabled. The default value of this property is 15; hence, so if the property is left blank then up to 100 invoices are displayed on the screen.

Next: This hyperlink gets enabled when there are more invoices present than the value specified in the property era.claims.per.page. Users land on the next page of invoices on clicking this hyperlink.

Charge Code Wise Details:

Charge code wise details are displayed in a tabular format on the Employer Receipt screen in the following columns.

Del: Clicking on the delete icon present under this column deletes the selected claim from the receipt. Only one claim can be selected for deletion at a time.

Show Claim Details icon : On clicking the Show Claim Details icon , the table below expands and more Charge Code details of that claim are displayed in the following columns:
  • Code: Displays the Charge Codes present in the claim.
  • Bill: Displays the amount billed to the Patient for the charge code.
  • Paid: Displays the actual amount paid in this remittance.
    Note: Users can view zero payment transactions on posting Employer Receipts. If 0.00 amount is entered in the Paid column along with some comments in the Comments column for a charge row, then this $0.00 payment charge row is retained in the Employer Receipt on posting. If no comments are entered, then the $0.00 payment charge row is removed on posting the Employer Receipt.
  • Bal: Displays the difference between Bill Amount & Paid Amount (after subtracting the Write Off Amount).
  • W/Off: If the Balance Amount is too small, it may be written off by the Biller and the same amount is entered under this column. If the Balance Amount is not written Off, the Bill remains as outstanding and appears as such in every statement/report.
  • Status: Displays the status of the charge code.
  • Comments: Users can enter any charge code wise comments, if required.
Invoice No: Displays the invoice number of the claim.

Claim ID: Displays the unique ID of the selected claim in the Employer Receipt.

DOS: Displays the date of service.

POS: Displays the place of service.

Patient: Displays the patient's name.

Provider: Displays the Provider's name.

Bill Amt: Displays the total amount billed to the Employer.

Allocated Amt: Displays the amount received from Employer against the invoice. The claim highlighted in blue has the Allocated Amt field enabled for making any changes. When user clicks on any other claim in the receipt, the screen auto-refreshes and the Allocated Amt field for that claim becomes enabled.

Ready to Post checkbox: The receipt can be marked as Ready to Post only if the Received Amount is equal to Allocated Amount. The receipt cannot be modified once it is marked as Ready to Post and the save button is clicked.

Action Buttons

save button: Click on this button to save the Employer Receipt.

delete button: Click on this button to delete the saved Employer Receipt. A message is displayed: Are you sure you want to delete this record? On clicking the OK button, the receipt is deleted.

reset button: Click on this button to reset all the changes made on the screen until the last save.

re-open button: Click on this button to reopen the Employer Receipt in Reopened status. After utilising the advance, this button is disabled.

Info button: Click on this button to invoke the Assignment popup for Remaining/Used From/To Advance Amount to select Location, Business Unit, Rendering Provider and Attending Provider.
