Topics Vaccines Search:  
Introduction: A doctor can vaccinate a patient immediately, or schedule the next vaccination at a later date. A provision to 'refuse' a particular dose of vaccine has been provided on the Administer Vaccine popup. The user can also administer the VFC vaccine for VFC-eligible children by assigning a VFC code for the vaccines.

Field Descriptions:

Vaccination on This Visit: Select this option if the administered vaccine is to be given to the patient on the same visit.

Note:

  1. Depending on the value(s) set in the property vaccination.admin.mandatory, the following fields are mandatory: Dosage/Quantity; Unit; Route; Site; Manufacturer; Lot #; Expiration Date; Purchase Date; VIS Publish Date; VIS Presented Date.
  2. If the assigned Route, Site, and/or Manufacturer are inactive in the Vaccine Master, then for Upcoming Vaccines, the respective fields display blank by default. Whereas for already administered vaccines, the value in the fields displays grayed out.
  3. 'Priority Group Code' dropdown is displayed for 'Vaccination on This Visit' when the Boolean property export.vacc.createHL7Message is set to ON, the admin-level property vaccination.covidcodes.forprioritygroupfield has COVID Vaccination codes saved, vaccinations having the code mentioned in the property vaccination.covidcodes.forprioritygroupfield are selected on TOC → Vaccination screen, and Priority Group Codes have been defined in the 'Group Types' master screen from System Group Type 'Vaccination Priority Group Code (VP)'.
  4. Manufacturer and Lot # dropdowns are mandatory when the registry is ON; hence, these dropdowns are displayed as mandatory even when not selected in the property vaccination.admin.mandatory.
  5. If the NDC code for the vaccine's Lot number is not present, then an alert will be displayed on clicking the OK button. This is due to the NDC code being mandatory.
  6. If the property value for vaccination.adminby.search is Yes, then the search button against Administered By is available to select. If the property value is No, then the search button will not be available to select.
Vaccination Not Associated with This Visit: Select this option in case of multiple dosages attached to the vaccine and the patient has been administered its previous dose(s) in another clinic.

Not Tracked: Select this option in a scenario where multiple dosages are attached to the vaccine and not administered. For example, if the Hepatitis B vaccine has 3 dosages attached and the patient refused to take the 3rd dose, then doses 1 and 2 will be marked as 'Not Tracked'. The information that the vaccine is not being tracked and has been refused is displayed on the Vaccination screen as well as on the Vaccination cell found on the Face Sheet.

Refused by Patient: Select this option to 'refuse' a particular dose of vaccine; upon selection of this option, all fields except for Refusal Reason Identifier and Comment/Reaction remain disabled. The user has the option to specify the reason for refusal in the Refusal Reason Identifier field.

Note: 'Not Tracked' and 'Refused' doses are not carried forward to the Next Encounter but are displayed under the 'Record' tab.

Refused by Clinic: Select this option if the clinic has to refuse vaccination for a patient. The Disease of Presumed Immunity field helps the user confirm that the reason for the clinic's refusal is that the patient either has or may have had a history of illness to which the body's immune system has naturally developed antibodies and thus is not in need of vaccination. On selecting Yes, the Type of Evidence of Immunity drop-down list is enabled, and the user has the provision to select the type of immunity the patient may have developed.

State-Provided Vaccine: Select the checkbox if the specified vaccine is State-provided.

VFC Code: Select the VFC code for the vaccine from the drop-down list. Depending on the value selected, the administered vaccine information is sent as a State-provided vaccine.

Note:

  • If the Eligible for State Vaccines option has been selected on the Patient Registration screen, then the State-Provided Vaccine and VFC Code options are available on the Administer Vaccine popup.
  • If the user does not select a VFC Code, then the value set in the property vaccine.vfc.defaultcode is taken by default.
Administration When / Time: Select the date and time on which the vaccine is administered.

Dosage/Quantity: Specifies the dosage of the drug to be taken at a time.

Unit: Users can define more units if required. However, note that only SureScript units can be selected for Bulk Quantity. If a non-SureScript dosage unit is selected, it is not set as the Bulk Unit and the Bulk Qty is not computed.

Administered By: By default, this field displays the logged-in user's name. The user can change it using the Search icon, which opens the Medics search popup. If either the Vaccination on This Visit or Vaccination Not Associated with This Visit radio button is selected, the selected medic's qualification is also displayed (e.g., John Doe, MD).

Route/Site/Manufacturer/Lot #/CVX Code/Expiration Date/Purchase Date/VIS Date/Comment/Reaction: These fields are displayed by default as entered in the Vaccine Master. The user may change them if required. If any of these fields are modified, then the Vaccine Master is also updated with the modified values. This update is based on PrognoCIS properties.

Note:

1. The Vaccine Manufacturer, Lot No., Exp. Date, and Purchase Date for Commercial or State Vaccines can be defined only for Single-Location clinics in Settings > Configuration > Vaccine. In the case of Multi-Location clinics, select the checkbox in the Vaccine Master to indicate if the specified vaccine is State-provided.
While administering the vaccine, the Mfg., Lot No., and Exp. Date for Commercial or State vaccines are picked up from the Vaccine Master form for Single-Location clinics and from the Vaccine Administer transaction form for Multi-Location clinics.

2. It is possible to add multiple lot numbers for the selected manufacturer on the Vaccination screen while administering a vaccine. Clicking the Add New icon: allows the lot number to be added for the selected manufacturer. Meanwhile, clicking the Edit Lot No icon: allows the existing lot number for the selected manufacturer to be edited.

3. If the CVX code is not present on the Vaccine Master screen, then the CVX Code field is displayed as enabled. The icon: has been provided to invoke the reference link for identifying the CVX code which needs to be associated with the vaccine. Once the CVX code is entered and the vaccine is administered, the CVX Code field is displayed as read-only, and the entered CVX code is updated on the Vaccine Master.

Comment/Reaction: Instructions for taking the drugs can be entered here, such as 'Not on empty stomach'.

Funding Source: Select the funding source for the vaccination. This field is available only for the Vaccination on This Visit option.

Immunization Information Source: Select the information source for the immunization. This field is available only for the Vaccination Not Associated with This Visit option.

Refusal Reason Identifier: Select the vaccination refusal reason for the patient. This field is available only for the Refused by Patient option.

Disease of Presumed Immunity: This field is used to indicate if the patient had a disease of presumed immunity. This field is available only for the Refused by Clinic option.

Type of Evidence of Immunity: If the Disease of Presumed Immunity field is set to Yes, then this field is enabled to select the evidence type of immunity. This field is available only for the Refused by Clinic option.

Schedule Next Dosage After: The doctor can schedule the next dosage after a number of days/months/years or select the 'Not to be Scheduled' option from the drop-down list to stop the dosage.

Action Buttons
OK: Click the OK button to save the details and close the Administer Vaccine popup.

Cancel: Click the Cancel button to close the Administer Vaccine popup.
