Topics Complete/Sign-off Encounters Report Search:  
Introduction: This feature enables the user to select encounters from a desired time period in bulk and mark them as Complete/Sign-Off. The "Sign-Off Encounters" sub-menu is displayed under the "Report" menu when the property enable.bulk.signoff.encounter is turned on. On clicking the "Sign-Off Encounters" menu, the "Complete/Sign-Off" popup gets invoked. Once the user selects the desired options from all the dropdowns displayed on the popup and runs the report by clicking the "OK" button on the popup, the user is navigated to the "Complete/Sign-Off Encounters" screen. Here, the user can select the encounters and sign them off in bulk. At a time, 50 rows are displayed on the screen with pagination in the bottom-right corner of the screen.

The following are the icons, columns, and action buttons displayed on this screen:

  • "Filter" icon : On clicking this icon, the "Complete/Sign-Off Encounters" popup gets invoked. The filters applied from the "Complete/Sign-Off Encounters" popup are retained even when the user navigates out of this screen to some other screen and returns to the "Complete/Sign-Off Encounters" screen again. However, once the user logs out, the filters or the dropdown options selected in the "Complete/Sign-Off Encounters" popup are reset to their default values.
    Below the "Filter" icon, on a gray belt, the selected period from the "Complete/Sign-Off Encounters" popup is displayed. For example, "Encounters for Period 10/14/2022 to 11/14/2022".

  • "Sign-Off" icon : On clicking the "Sign-Off" icon, the "Sign-Off Encounter" popup is invoked. This popup displays the Progress Notes for that specific encounter. The popup has the "Mark Encounter Complete/Sign-Off" checkbox at the bottom-right corner. The user can check the checkbox and mark the encounter as complete from the popup. The popup has two action buttons: "OK" and "Cancel".

  • "Checkbox" column: This column displays checkboxes for each row and a "Select All" checkbox at the header level of the column. The user can select/deselect the encounters by clicking these checkboxes. The user can select all the rows displayed on the screen at once by clicking the header-level "Select All" checkbox. The encounters that are already completed and encounters that have the "Pending actions hence cannot close encounter" icon are dropped when the "Select All" checkbox is clicked.

  • "Patient Name" column: This column displays the first and last name of the patient. In case there are some mandatory actions pending in that encounter and hence it cannot be closed, then the "Pending actions hence cannot close encounter" icon is displayed next to the patient's name. On clicking this icon, the user is navigated to the "TOC Close Encounter" screen. When this icon is displayed next to the patient's name, the checkbox for that patient is disabled, and the user cannot select that particular encounter to be marked as completed and signed off.

  • "DOB" column: Displays the date of birth of the patient, auto-populated from the "Patient Registration" screen.

  • "DOS" column: Displays the date of service as a hyperlink. On clicking the hyperlink, the user is navigated to that encounter.

  • "Enc Type" column: Displays the encounter type in the format of encounter code and encounter name. For example, OV – Office Visit. This includes zero-duration encounters.

  • "Reason for Visit" column: This column displays the patient's reason for visiting, auto-populated from the "Appointment Schedule" popup, "Reason" field.

  • "Supervising Provider" column: Displays the name of the supervising provider associated with that encounter.

  • "Sign-Off" action button: On clicking this button, the selected encounters are marked as completed and signed off. This excludes the encounters that have the "Pending actions hence cannot close encounter" icon displayed in front of the patients' names.
