Topics Scan/Local Attach Search:  
A clinic can receive the following types of patient documents by fax/email, which need to be attached at the right place in PrognoCIS:
  1. Lab Result
  2. Rad Result
  3. Consult Response
  4. Procedure Result
  5. Progress Notes (received either from a transcription company or a hospital)
  6. Letter In
  7. Legal Documents
  8. Encounter
  9. Billing
  10. EOB
  11. RFA Response
  12. X-Ray
  13. CT Scan
  14. Others
Note: When a document is uploaded and categorized as a Legal Document, the system automatically evaluates the admin-level property portals.supported.for.autoshare.of.legaldoc (GoTo: Settings → Configuration → Properties) upon saving. Portal sharing is then applied automatically based on the portals selected in this property:
  • R – Referring Doctor Portal
  • A – Attorney Portal
  • I – Insurance Adjuster Portal
If a portal is not selected in the property, the legal document will not be shared to that portal automatically. To share it manually, navigate to the patient’s Document List, click the Share on Portals icon, and select the appropriate portal. The Patient Portal always receives legal documents automatically and is managed from the backend; it does not require configuration through this property. The Employer Portal, TPA Portal, and Hospital Portal are not available for selection under this property.


The functionality of this Scan/Local Attach screen is similar to Messages → Attach Center. The only difference is that the files will be either scanned or browsed from the client PC.

Enc Date: This field is available for the Consult Response, Letter In, and Others radio buttons.

Note: When the RFA Response option is selected in this dropdown and the Search for Order No icon is clicked, the RFA Search popup is invoked. If the property attachcenter.show.allrfa.rfacoordinator is turned On from the Properties Master screen, then users having the PreAuthCoordinator User Role can view all RFAs present for the clinic on the RFA Search popup, else they can view only those RFAs which are assigned to them.

Properties: This button is exclusively visible to users with read access to the Properties Master screen. Access to this button is strategically granted to enhance user functionality. Clicking the Properties button triggers a popup, presenting a list of properties from the Properties Master screen in PrognoCIS that cater to Scan/Local Attach.

One Touch Scan allows attaching scanned documents to patient records. On arrival of a patient at the clinic, the front desk or clinical staff will scan the documents. Documents can be saved on a local desktop or a network location, and later, the staff can associate the documents with the patient's record. Alternatively, the staff can also scan the document and associate it with the patient's record. Both functions can be performed using the One Touch Scan screen.

A local folder is necessary to be specified for scanned files to be stored. This directory name must be specified in the property, One Touch Scan > scan.onetouch.localpath, so that PrognoCIS can read all files.

Since the utility is based on ActiveX, the corresponding controls should be enabled in the client browser.
This utility works with TWAIN-compliant scanners like "Visioneer Strobe 500".
The property One Touch Scan > scan.onetouch.serverpath is used to set the folder where uploaded files are temporarily kept before being moved to their actual location under data files.
The maximum size of a document that can be uploaded, or the resultant file size after scanning a file (which may or may not be multiple pages), is specified by the property PrognoCIS Parameters > prognocis.attach.maxsize.kb.
A maximum of five documents can be browsed and uploaded from the Local Attach tab.
On switching the tab from Local Attach to One Touch Scan, the already browsed files will be cleared.
One document can be scanned at a time. A multi-page option is available, if needed, via a prompt to the user. Therefore, before selecting Yes, the user needs to change the document in the scanner.

The Interface checkbox, if checked, opens the scanner user interface if further options are needed and provided by that particular scanner.
The Select Source checkbox, if checked, opens the scanner pop-up if there are multiple network scanners on the client network and the user needs to select from among them.
The One Side checkbox, if unchecked (it is checked by default), allows a two-sided scan of a document in the scanner, provided the scanner has that facility. If checked, it provides a one-sided scan only. The user can preview the scanned document before attaching it to any screen. On the screen Messages > Scan/Local Attach, the 'Preview' checkbox is provided for One Touch Scan. This feature enables the user to preview the scanned document and decide if the scanned document is to be attached or discarded.

The preview of the scanned document is displayed in a pop-up window 'Scan Preview' with the 'Attach' and 'Cancel' buttons.

  • Attach: Select this if the user wants to proceed and attach the scanned document.
  • Cancel: Select this if the user wants to discard the scanned document.

Please note that the 'Select Source' and 'Interface' checkboxes are not available when the 'Preview' checkbox is checked.

Cookies must be enabled in the client browser.

The Scan button, when clicked for the first time, installs the scanning-related files on the client PC.

Scan: Click this button to upload the scanned file to the patient's record.

Local Attach: From the Local Attach tab, up to five files can be selected and uploaded to the patient's record using the browse buttons. The maximum file size is specified by the property PrognoCIS Parameters > prognocis.attach.maxsize.kb.
Note:
  • The user can attach as well as play a *.wav file if the Attach Type selected is 'Encounter' or 'Other'.
  • An Attach Type drop-down list is displayed if the Attach Type selected is Rad Result. The drop-down list displays a list of attachment types (Image, Narrative, or both).
Reset: Click this button to reset the Scan screen. All fields except the Patient Details are reset.
