Introduction: Protocols define the tests that should be taken by patients on a periodic basis, based on their age, sex, and medical history.

Field Descriptions:

* Name: Enter the Name of the protocol in this mandatory field. The character limit for this field is 50.

Gender: Select the gender of the patient, which can be Male, Female, or Both.

* Age: Enter the age range in the From and Up To fields. While doing so, select the option of Years or Months for which this protocol is applicable. This is mandatory for defining both Health Maintenance and Assessment protocols.

Mode: Select the Mode as Health Maintenance or Assessment Protocol. Health Maintenance is for ICDs in the Past Medical History. Orders selected under this mode appear in the Face Sheet's Health Maintenance cell. The Assessment Protocol mode is used for defining potential orders, labs, radiology, consults, procedures, and specialty templates for ICDs listed under the ICD Tab on the Assessment Screen. By default, the Health Maintenance mode is selected. It is important to note that when the radio button for one mode is selected, the radio button for the other is disabled.

ICD Applicable Range: If the protocol is applicable to all patients in the age group, irrespective of their ailments, do not select any ICD codes. If a specific protocol needs to be defined for patients suffering from cardiovascular problems or hypertension, this can be defined by selecting a range of ICD codes for cardiovascular problems and another range for hypertension problems. Up to three such ranges of applicable ICD codes can be defined for a protocol. Only ICD-10 codes are permitted for new protocol entries; ICD-9 codes are not supported for new additions but remain functional for existing entries. Each ICD Applicable Range supports only ICD-10, and you can view the full ICD descriptions through tooltips.
  • Del: Click the icon to delete.
  • From - Up To: Select the desired applicable ICD range by clicking the Search button. The first code is shown under From, and the second code is shown under Up To. If only one ICD code is selected, the same value is displayed in both the From and Up To columns.
Type: A protocol consists of a set of Lab tests, Radiology tests, Specialist Consults, Procedures, and Specialties. To add items to a protocol, you begin by selecting the appropriate type using one of the radio buttons—Lab, Radiology, Consults, Procedure, or Specialty. Based on your selection, the corresponding list of items appears in the row below. If you select Lab, you will see the Lab tests defined in the Tests Master under the Lab column. Choosing Radiology displays Radiology tests from the Radiology Tests Master under the Radiology column. If you select Consults, all consults from the Consults Master are shown. Selecting Procedure displays all procedures listed in the Procedure Master, whereas selecting Specialty displays templates selected from the Specialty Template Master.
  • Del: Click the icon to delete.
  • Type: Shows the type as LB, RD, CO, or PR based on the radio button selected above. This determines the source list for the next selection step.
  • Name: Click the Add More Tests icon to invoke the Tests Search popup based on the selected type. Select one or more tests to be added to the Type section.
  • Frequency: Enter a number to define how often the test should occur. The default value set in this field is 0.
  • Unit: Select the frequency unit – Years, Months, or Weeks.
  • CPT/HCPCS: The CPT/HCPCS codes associated with the tests are shown here.
  • Remarks: Enter reference notes in this field. The character limit for this field is set to 50.
Note: When an encounter is created, the system evaluates the patient's age on that date, sex, and past medical history to determine the applicable protocols. For example, a test may be recommended every five years based on the patient's age, while another protocol—based on the patient's medical history—may recommend the same test every two years. In such cases, the system applies the more frequent interval, using the minimum applicable frequency. It also checks the date the test was last performed and, based on that, schedules an appropriate health reminder.

Action Buttons:

Save button: Click the Save button to save the changes to the screen. Upon saving successfully, the Save and Approve Successful. message is displayed in a green and bold font.

Delete button: Clicking the Delete button prompts you to confirm, "Are you sure you want to delete this record?" with options such as OK and Cancel. Click OK to delete the clinic protocol record and see the Delete Successful. message. Click Cancel to revert the deletion.

Reset button: Click the Reset button to reset unsaved changes.

History button: Click the History button to invoke the Clinic Protocol History popup. The logs capture Modified By, Date, Modified Notes, and User details.
