The Inbox shows all messages addressed to the logged-in user. They can sort, delete, and read them. The primary feature is that users can click on a sender's name to zoom to the relevant document. For example, if there is an Alert that the doctor needs to approve a Lab Order, clicking the sender's name takes them to the Lab Order Entry screen with the specified Lab Order opened. They can simply click Save to approve it. No more clicks, no more navigation.

Properties: This button is exclusively visible to users with Read Access to the Properties Master screen. Access to this button is strategically granted to enhance user functionality. Clicking the Properties button triggers a popup, presenting a list of properties from the Properties Master screen in PrognoCIS that cater to the Inbox.

This option is a messaging system for use within the application. There are five types of messages:

All: Select to view all incoming messages.

Alert: Select to view only Alert-type messages.

Normal Mail: Select to view only normal mail.

Notification: Select to view only Notification-type messages.

Telephonic: Select to view only telephonic messages.

ToDo: Select to view only incoming messages where a flag is applicable.

Urgent: Select to view only urgent messages.

All Checkbox: Allows the user to select all messages together for deletion.

Mark Unread: The user must select a message or message row and click the Mark Unread icon to mark the respective message as unread (indicated by the closed envelope icon).

Patient Info : Click the Patient Info icon to view the patient's information.

Type: Displays the type of message.

  • Alerts (A): These are also system-generated messages to doctors when a predefined, subscribed event takes place. The difference is that the doctor is expected to act on it.
    For example, a nurse enters a new Lab Order and the doctor is expected to approve it. Likewise, they need to approve the Lab Results that have come in.


  • Normal Message (M): These are similar to short email messages, which can be sent to any authorized user within the application.

  • Notification (N): These are system-generated messages to doctors when a predefined, subscribed event takes place. In the context of the application, some events have been predefined. The configuration option allows the administrator to subscribe to one or more of these events.
    These could be simple notifications; for example, today's appointment for Mr. John has been rescheduled, or a new patient has been referred by a doctor.

  • For In-House Consult orders, the notifications sent using the Notify hyperlink are also displayed in Messages In with the type as N.

    Note: On successful login, the system deletes all old, read messages that are system-generated (Alerts/Notifications), pertain to Lab/Rad, have been read, and have a Read Date < (Today - property days).
    Mail purging after the required number of days is set by specifying the number of days in the property:

  • Urgent Message (U): This is similar to a Normal Message but with a different categorization to indicate priority.

  • Telephonic Message (T): A message sent by any user within the application when the doctor was busy and had received a telephone call that was answered by that user.

Status: Displays an image of an open or closed envelope to indicate whether the message is read or unread.

Flag: Flags are used to track messages requiring action. These same messages can also be viewed by selecting the ToDo radio button. If the action is complete, the flag is not displayed. Scheduled actions are indicated with a green flag and overdue actions with a red flag.

From: This is the sender's name, which is hyperlinked to navigate the user to the relevant message.

Patient Name: This is the reference patient. The name is hyperlinked to take the user to their default encounter.

Subject: Displays the subject of the message. Click here to view the list of subjects for the respective Alert/Notification.

Action: Displays the action to be taken, if applicable.

Zoom: Clicking this button takes the user to the referenced document.

Received Date: Displays the message received date.

Due Date: Displays the due date for the action.

Done: Displays a checkmark if action has been taken on the message.

Forward Button: Any message can be forwarded to any number of users using this button.

Events: Click here to view the comprehensive list of events for which Alerts and Notifications are generated and displayed on the Message-In screen.
Note: EPCS reports will be sent by the system to EPCS-enabled providers as per the certification requirement from Surescripts.

The system manages the mailbox size. Messages are automatically purged after the number of messages for a user exceeds the limit defined in the property, Mail Related Parameters >
mail.purgecount. Messages can be sorted by clicking on each of the underlined column headings.

The System Administrator can configure the list of supported events in the property, events.supported, for which Alerts and Notifications need to be regenerated.
