Introduction: The Custom Emails functionality in PrognoCIS allows clinic users to send user-defined customized emails to all patients who have a valid email address saved in the system. These custom emails can be used to extend the set of emails in PrognoCIS and are sent by the system to patients on behalf of the clinic.

Field Description

Type: This dropdown consists of the following values:
  • Patient
  • Medic
  • Employer
  • Insurance
  • Attorney
  • Adjuster

Filter Button: On clicking this button, the Filter Name popup is invoked. This popup contains filter options as columns that serve as conditions which help the user to send a text email. The first column contains rows with a dropdown of filters such as First Name, Last Name, DOB, Gender, Location, etc. Users can define multiple filters by selecting another filter on a new row. In the second column, the user is required to select filter matching criteria from the dropdown list. In the next column, the user can enter the required details of the patient according to the filter selected in the first column. Once the user clicks on the OK button, the changes are saved for those selected patients who are part of the applied filter.
Note: For users who have the TemplateHtmlEdit role, the HTML View and Normal View radio buttons are displayed on the popup.

To: This is a read-only field where a message, Email will be sent to (No) recipient(s)., is displayed, where "No" is the count of the total number of recipients receiving the selected custom email. Based on the Type selected, the template is displayed, and the user can save this template by clicking the Save button and send the custom email to the respective user by clicking the Send button.

Subject: Enter the appropriate subject in this field. This field cannot be left blank. The maximum character limit for the email subject is 255 characters.

Add Image Icon: Click this icon to attach an image to the email. Place the cursor inside the email text box area where the image needs to be added, and then click the Attach Image icon to attach the image. If a user does not place the cursor inside the email text box area, then the image is added at the top of the message by default. The user can attach only JPEG, JPG, PNG, GIF, and BMP types of image files.

Attach Icon: Click this icon to attach a file to the email. On adding the file as an attachment, the name of the attached file is displayed next to the Messages label. The user can attach PDF, JPEG, JPG, PNG, GIF, TIFF, and RAW types of files using this icon. A maximum of 5 files can be attached as email attachments, and the size of each file must be less than 5 MB. The attached file can be detached by clicking the cross symbol available on the attachment.

Text Editor: This field displays a predefined email template. The user can edit the template as required; however, the edited template is not updated in the predefined email template. Other icons available on the text editor header are Insert Phrases, Break Page, New Line, Edit Mode, Overwrite, and Insert Table.

Insert Phrases Icon: Click this icon to add the required phrases from the Transcription Phrases popup. Custom text message phrases are also available in this Transcription Phrases popup search list.

Insert Table Icon: On clicking this icon, a popup is invoked where the user can define the number of rows and columns required for a table. After clicking the OK button in the popup, a table with the selected number of rows and columns is added to the email editor section.

Action Buttons

Save Button: Click this button to save the drafted email. When the user returns to this screen, the last saved draft is displayed in the email section.

Send Button: Click this button to send the drafted message to the selected patients. On clicking this button, the following message is displayed on the screen: "Email will be sent to X Recipient(s). Click OK to send or Cancel to go back." The email is sent after clicking the OK button.

Cancel Button: If there are any unsaved changes, then clicking this button displays an alert message: "Click Yes to save the draft and No to discard the changes and close the screen." The user can take the required action to either save or discard the changes and close the popup.
