Copy From Past Visits

Introduction: Copy From Past Visits feature in PrognoCIS enables the PrognoCIS user to copy Encounter data from Past Encounters to Current Encounter. When the property, enable.copyfrom.pastvisits is set to ON, the Copy From Past Visits icon is displayed beside the Patient Band before the Case Management icon. This icon is enabled only for open Encounters. Clicking on this icon, user can invoke the Copy From Past Visits popup. In order to see the Copy From Past Visit option on the Encounter TOC, the property, toc.menu.options must have the value CP selected and the selected Encounter Type for the Encounter must have the option Copy From Past Visits selected on the TOC Encounter Options popup which is invoked by clicking on the Encounter button on the Enc Types Master screen.

Field Description:

Select: Towards the left side on the header section, a Select dropdown is displayed. This dropdown displays the options for All Encounters, Case No of current Encounter and Case No of Past Encounters. By default, the Case No of current Encounter is selected in the dropdown. If the Current Encounter does not have a Case No, then All Encounters is selected by default. The format of Case Nos displayed in the dropdown are as per the value defined in the property, case.selection.dropdown.additional.params.

Table of records: Below the Select dropdown records for Past Encounters are displayed. Latest records are added on top of the list and the records arranged in Tabular format in Date, Type, Reason For Visit, Attending Provider, Case Number and Status columns. Sort options are provided for all these columns. The user can select appropriate value from the Select dropdown to see the record as per Case No. When no record present on the popup matches the Case No selected then No Record to Display is shown.

Sections: Beside the Table of records, a Sections list is displayed on the right-hand side. This list displays the following options with a checkbox for selection in the same sequence as given below:

HPI
ROS
Physical
Specialty
Subspecialty(s)
ICDs
Assessment Notes

Note: Assessment CPT/HCPC, Assessment Snomed CT, and Assessment Goals are excluded from this list since they are not to be copied from Past Encounters but based on the Current Encounter.

Select All checkbox is provided before the Sections label to select all the options in the list. By default, this checkbox is unchecked.

Preview section: A Preview section is present below the Table of records. This section displays data as per the custom Progress Note, Progress Note for Copy from Past Visit. This custom Progress Note has been added on the Settings → Configuration → Output Templates → Progress Notes Master screen. The Template Name for this Progress Note is non-editable. This Template cannot be deleted. Expand Preview/Collapse Preview icon is present to expand or collapse Preview section. The header of the Preview section can also be dragged to increase or decrease its height.

Overwrite: In order to copy templates and overwrite existing data from Past Encounter to Current Encounter, push the Overwrite slider to ON. By default, this slider is OFF.

For Template sections like HPI, ROS, Physical, and Specialty, if Overwrite is set to ON and template is found in Current Encounter, then current template details are deleted and details are copied from Past Encounter.
For Template sections like HPI, ROS, Physical, and Specialty, if Overwrite is set to ON and template is not found in Current Encounter, then template is added and details are copied from Past Encounter.
For ICDs section, if Overwrite is set to ON and ICD record is found in Current Encounter, then Assessment/Plan/Procedures Notes are deleted and details are copied from Past Encounter.
For ICDs section, if Overwrite is set to ON and ICD record is not found in Current Encounter, then ICD is added, and details are copied from Past Encounter.
For Assessment Notes, if Overwrite is set to ON and Assessment/Plan/Procedures Notes are present in current encounter, existing Notes are deleted. Notes are added from the Past Encounter. If the Past Encounter has any of the Notes as Blank, and Current Encounter has notes in the same section, the overwriting is skipped that section is not made as blank.
For Assessment Notes, if Overwrite is set to ON and Assessment/Plan/Procedures Notes are not present in Current Encounter, then Notes are copied from Past Encounter.

Action Buttons:

OK: The OK button is displayed on the Copy From Past Visits popup. Click on the OK button to Copy Encounter data from the selected Past Encounter into the Current Open Encounter. If the copying is successful, the Copy From Past Visits popup gets refreshed and closed. On clicking the OK button without selecting any option from the Sections list, the following validation message is displayed in a popup with an OK button to close the validation message popup: Please select section(s) to copy data. On clicking the OK button without selecting any record the following validation message is displayed in a popup with an OK button to close the validation message popup: Please select encounter to copy data.

COPY: The COPY button is displayed on the Copy From Past Visits screen which is invoked from Encounter TOC. Click on the COPY button to Copy Encounter data from the selected Past Encounter into the Current Open Encounter. If the copying is successful, the screen gets refreshed and Copy Successful. message is displayed in dark green font color on the Copy From Past Visits screen. On clicking the COPY button without selecting any option from the Sections list, the following validation message is displayed in a popup with an OK button to close the validation message popup: Please select section(s) to copy data. On clicking the COPY button without selecting any record the following validation message is displayed in a popup with an OK button to close the validation message popup: Please select encounter to copy data.

CANCEL: The CANCEL button is displayed on the Copy From Past Visits popup. Click on the CANCEL button to close the Copy From Past Visits popup without copying Encounter data from the selected Past Encounter into the Current Open Encounter.
