Topics Attach Center Search:  
Introduction: The Attach Center screen allows the clinic to attach documents received by fax or scan at the right place in PrognoCIS.

Select Folder:The Select Folder dropdown is displayed in the top section of the Attach Center screen. The total count of files present in each folder is displayed beside the folder names.

AI-Configured Folders
The Select Folder dropdown shows an icon to represent the AI-configured folders.

Select Location: The location search box will be displayed in the UI when the property prognocis.attach.userootfolder is set to 'On'.

Left Pane:

Patient Document List: Below it, the list of files in the selected folder is displayed with checkboxes. The files displayed under each folder display a timestamp after the file name. Click on a file name to preview it in the right pane.

Filter Icon: The user can filter the Patient Document List by Patient, Date Range, or Document Type. Filtering by Document Type allows the user to narrow down the list based on the AI-predicted document type. The filter option is applicable only for AI-configured folders. When a filter is applied, a green dot appears on the Filter Icon to indicate that the filter is active.

AI-Configured Folders will have additional functionality:
  • AI-enabled folders are indicated with an icon.
  • Display document metadata, including: Patient Name, DOB, Chart Number, Document Type, Page Count, and Source Folder
  • Allow filtering by AI-predicted document type.
  • The Files Yet to Be Processed list displays the file names that are scheduled for AI processing in the next batch at predefined intervals. These files remain unavailable for any actions until processing is completed.
Note: Billing and EOB are applicable only when Billing is turned On.

Middle Pane:

Displays AI-extracted fields

Patient Document Information: This section displays the document-related fields to facilitate the attachment of documents. Based on the document type, the document-related fields seen in the middle pane are mapped to each document type.

Document Type: The user can select the document type from this dropdown field.

Patient: Select the Patient by clicking on the Search Icon.

Order No: Select the Order No by clicking the Search Icon. If no Order No is available, New is displayed.

Date: Today's date gets auto-populated in this field; also, the user can select the date from the Calendar Icon. The date field accommodates attachment dates with more flexibility on date selection; attachments dating back up to 150 years can be easily attached. A notification is not sent to the logged-in user.

From: Select the sender from this dropdown, such as User or Lab Vendor.

Name: Select the name of the Vendor by clicking on the Search Icon.

Category: The user can select the Category of the document.

Subject: The user can select the Subject of the document by clicking on the Search Icon.

Message To: The user can select the Provider Name from the dropdown.

Multiple roles and users can be selected to send notification messages in the Attach Center (this functionality is also present on the Scan screen).
Note: Billing and EOB are applicable only when Billing is turned 'On'.

  • When a user selects Rad Result from the Attach dropdown list, an Attach Type dropdown list is displayed. It displays a list of attachment types (Image, Narrative, or both).

  • When a user selects any of these options: Consults, Letter In, or Others from the Attach dropdown list, then an Enc Date field is displayed.


  • AI-Configured Folders will have additional functionality:
  • Display AI-extracted fields based on the document type
  • Include confidence indicators, such as Confidence Score (High / Low)
  • Provide a manual override option via the Search option
  • Include a feedback mechanism to improve AI learning
  • Once Save and Attach is completed, the AI summary is represented as an icon in the document list, which users can access directly from the list.


  • Action buttons:

    RESET Button: Click this button to reset the fields after making edits.

    Save and Attach: Click this button to save and attach the document to the Patient's Document List. At any given time, only one document can be attached, as AI-processed documents must be validated by the user. If the user moves to a different screen without clicking the Save and Attach button, the user will have to review, select, approve, and attach the document again.

    The following is a list of document types available as options to attach:
    1. Lab Result
    2. Rad Result
    3. Consult Response
    4. Procedure Result
    5. Progress Notes (received either from a transcription company or a hospital)
    6. Letters In
    7. Legal Documents
    8. Others
    9. Encounter
    10. Billing
    11. EOB
    12. RFA Response
    Note: When a document is attached and the Document Type is identified as a Legal Document, the system references the admin-level property portals.supported.for.autoshare.of.legaldoc (GoTo: Settings → Configuration → Properties) upon saving. The portal sharing toggles on the Share on Portal popup are automatically pre-populated to reflect the portals selected in this property:
    • R – Referring Doctor Portal
    • A – Attorney Portal
    • I – Insurance Adjuster Portal
    Portals that are not selected in the property will have their sharing toggle defaulted to Off for legal documents on the Share On Portal popup. To share a legal document manually with such a portal, navigate to the patient’s Document List, click the Share on Portals icon, and select the appropriate portal. The Patient Portal always receives legal documents automatically and is managed from the backend; it does not require configuration through this property. The Employer Portal, TPA Portal, and Hospital Portal are not available for selection under this property.

    Note: When the RFA Response option is selected in this dropdown and the Search for Order No Icon is clicked, the RFA Search popup is invoked. If the property attachcenter.show.allrfa.rfacoordinator is turned On from the Properties Master screen, then users with the PreAuthCoordinator user role can view all RFAs present for the clinic on the RFA Search popup; otherwise, they can view only those RFAs which are assigned to them.

    Right Pane:

    Document Preview Pane: When the user clicks on a specific document in the left pane under the Patient Document List, the document preview is displayed in the right pane.

    Approve: Selecting the Approve checkbox is required for users to confirm that the AI-generated output has been reviewed and is ready to be attached to the appropriate patient record. Once approved, the Save and Attach Button on the Attach Center screen becomes enabled. A green checkmark will then appear next to the document in the Patient Information pane.

    Rectify: The Rectify Button is enabled only for documents that have been auto-split by the AI. To modify these documents, the user can add pages from the source file or remove pages by specifying the appropriate page ranges and document types. Clicking the Rectify Button displays the Rectify Documents popup. Use the Add New Row option to create a new split based on the document type. The patient's name can be added to the new row later from the Patient Information pane after completing and saving the remaining details in the Rectify Documents popup. While performing rectification, the page range can be left blank to perform the desired action.

    Print: Click this button to print the file.

    Delete: Click this button to delete the file.

    Move: Select a file from the displayed list. If required, the file can be moved to a different folder. The destination folder can be configured using the property (PrognoCIS Params prognocis.move.folder). Click the Move Button to move the selected file to the specified location. The button will remain enabled when the user is in the Move folder, so that any specific document can be moved to another folder.

    Merge: When two or more documents are selected from the Document List and the Merge Button is clicked, a single merged PDF is generated. The documents are merged and displayed in the same sequence in which the user selected them from the list.

    Split: When a PDF file containing multiple pages is selected from the Document List and the Split Button is clicked, the file can be split into individual PDFs (each page as a separate PDF) or according to a page range specified by the user. Upon clicking Split, a Split PDF popup appears with options such as All, Range, and Overwrite. Additionally, files in the folder with a TIFF extension are converted to PDFs, and the original TIFF files are deleted from the Attach folder.

    Info: Clicking this Icon opens the Document Details popup, which displays the name and size of the selected document.

    Notes:
  • If an uploaded file has the same name as a previously deleted file but contains different content, the new file will be skipped and will not be converted to a PDF. Refer to the Split popup screen help for more details.

  • The Approve and Rectify Buttons will be disabled for non-AI-processed folders.

  • Rotate: When this Button is clicked, the selected document is rotated according to the user's preferences. The document is saved in the rotated position, and the next time it is selected, it is displayed in the last saved rotated orientation. By default, the document rotates by 90° when the Rotate Button is clicked.
    Notes:
  • This functionality is only supported for PDF, JPG, JPEG, PNG, GIF, and BMP document formats.
  • If a document is selected for rotation and its file extension is unsupported, an alert popup is displayed on the screen with the following message:
    'wav is NOT a supported file type for the rotate functionality. Below is a list of supported file types: PDF, JPG, PNG, GIF, BMP, JPEG'
  • An FTUX message is displayed on the Rotate Button of the action button toolbar as follows: 'To rotate and save the document in the new orientation, use the Rotate Button instead of the Rotate Icon'

  • AI-Powered Document Intelligence: Categorization, Extraction, and Splitting:
  • AI classifies documents into predefined types, such as: Lab Result, Radiology, Progress Notes, Consult, Procedure, Billing, Legal, etc.
  • AI extracts and auto-populates key fields, including: Patient details (Name, DOB, Gender, Chart #), Document attributes (Order No., Encounter Date, etc.), and provider and document metadata.
  • Unverified Documents Handling: Documents with missing patient-level details are marked as Unverified Documents.
  • Multi-page documents are split based on: Patient Name and DOB, Document Type, and Date of Service.
  • Only PDF files are eligible for splitting.
  • All AI-driven actions are reversible.
