The system group types are those which are pre-populated and generally do not need to be changed. These include,

For each of these, it is possible to define any number of records with Names, Codes and Sequence No. as applicable.

Name: This is mandatory without which the group information cannot be saved.

Code: If a code length is defined for a particular group type, then it is mandatory for that group and will have to be defined here. Codes are always in Upper Case and Must be of the defined length. Drug Classes, Routes have well defined codes. So, a clinic too may have defined codes for Departments / Specialties OR it may just prefer to maintain a list without using any codes. Make sure the definition in Group Types is consistent with the clinic practice.

Sequence No.: When displaying a list of eligible groups, they would be shown sorted by Name. If the user desires to see the list in any particular sequence of his choice, he has the option to define a sequence number. The system will always show the list sorted by Sequence No., followed by Name. With this mechanism it is not necessary to define the Sequence No. for all entries, nor is it necessary to have the Sequence No. unique. It can be changed any number of times, without any side effects. This feature is applicable Only for the following Types:
  • A group cannot be deleted, if it referred to in any other record in the Clinical Information System.
  • Also Note that if this was of System Group Type, it cannot be Added or Deleted. Only the Name field can be edited.
Active: A group can be marked as inactive, so that it is no longer available for selection.

If hierarchy was applicable for this group, additional fields available are:

Parent: It displays the name of the Parent of the selected group.

Action:
  • Edit: Is the default action where the name and sequence number of the selected group can be edited.
  • Add Child: Notice that the selected Group becomes the Parent, the Name and Code has become blank allowing the user to add a Child
  • Add Sibling: Notice that the Parent remains unchanged, Name and Code have become blank allowing the user to add a new Group.

There is no practical limit on the depth of indentation possible. The user cannot delete a Parent without first deleting all its children, or need to be specifically mentioned.


Diagrams: The Code is used to determine the Image filename.

Legal Doc: The Code is used to define the Standard Legal Documents. If the Code Starts with ‘W’ it is assumed that the Document needs to be signed by a Witness.

State: The Code corresponds to the Two Characters of the State as used in the Zip Code Prefix. The List of Codes is Pre-Built.

Drug Freq: Drug Frequency has Codes like TID, QD to indicate Thrice a Day, Once a Day. The records are pre-generated on Creation. The Numbers corresponding to TID, QD namely 3, 1 are stored in the No. of Day .

Follow Up Days: The Number of days for a particular Follow up can be defined in Number of days field.

Time Zone: The time difference between the server and the client location can be decided based on Time Zones. This time difference can be saved in "Time Difference in Minutes".
