Introduction: The list of standard vaccines is defined and maintained on the Vaccine Master screen. PrognoCIS comes with a prepopulated set of vaccine information. The user can add more vaccines, if required. The prepopulated vaccines cannot be deleted. This is a mandatory field and is applicable only while adding new codes. Existing codes that are already imported cannot be changed. In such a case, one needs to delete the record and create a new one.

Sex: Select the gender for which the vaccine is applicable. The drop-down options include Male, Female, and Both.

Name: It is mandatory to specify the name of the vaccine. Since the names are imported from an external database, the user is allowed to change the name according to their nomenclature. By default, if this is not specified, it is taken as the first 50 characters of the Full Name.

Route: Select the route of administering the vaccine (e.g., Oral) from the drop-down menu. Options are available for selection under the drop-down list only when the user enters the mandatory field and then saves the vaccine information.

Site: Select the site of administering the vaccine (e.g., Arm, Butt) from the drop-down menu. Options are available for selection under the drop-down list only when the user enters the mandatory field and then saves the vaccine information.

VIS Publish Date: Select the date when the VIS of the vaccine was published. Depending upon the VIS Name selected, the VIS Publish Date is updated accordingly.

VIS Name: Click the search icon to associate a VIS (Vaccine Information Statement) with the vaccine. Based on the entered CVX code, the list of all available VISs is displayed in the Vaccine VIS search.

Commercial Mfg.: Select the manufacturer of the vaccine from the drop-down list. The display first considers the manufacturer with a lot number and expiry date on top and in alphabetical order, followed by manufacturers with no assigned lot number and expiry date.

Lot No. (State / Commercial):The manufacturing lot number of the vaccine is used for administering. This field keeps changing for a vaccine. It has been kept here so that whenever a new batch (Lot No.) arrives at a clinic, this field can be updated. Further, when the vaccine is actually administered to a patient, this Lot No. and expiry date automatically get saved as part of the patient transaction.

Click the Add New icon to add a new Lot number for the selected manufacturer, or click the Edit Lot No. icon to edit the existing Lot number for the selected manufacturer.

Note: Vaccine Manufacturer / Lot No. / Exp. Date for commercial or state vaccines can be defined only for single-location clinics. And in the case of multi-location clinics, check the checkbox in the Vaccine Master to indicate if the specified vaccine is state-provided.

Expiry Date: Select the expiry date from the calendar or enter it in mm-dd-yyyy format. This specifies the expiry date for the vaccine manufactured with the above Lot No.

State Provided: Select the checkbox if the specified vaccine is state-provided. Set the state.provided.vaccines property to 'ON'. By setting this property, options like State Provided in the Vaccine Master and Eligible for State Vaccines on the Patient Registration screen are made available. PrognoCIS has a provision to administer VFC vaccines for VFC-eligible children by assigning a VFC code to the vaccines.

ICD: The user can select any required ICD by clicking the Search button and clear it if desired. The SNOMED code, if available, is displayed as a tooltip on the field.

CPT/HCPCS Button: The user can select any required CPT/HCPCS by clicking the CPT/HCPCS Button.

CVX Code: Enter the CVX code for the vaccine. When an MVX (manufacturer) code is paired with a CVX (vaccine administered) code, the specific trade-named vaccine may be indicated. These codes should be used for immunization messages using either HL7 Version 2.3.1 or HL7 Version 2.5.1. Click the icon: to invoke the reference link for identifying the CVX code that needs to be associated with the vaccine.

Adult / As Needed: Select the checkbox if the vaccine is meant for adults.
Note: If this checkbox is checked, dosages are not applicable.

Inventory Items Assigned: This field displays the assigned inventory items.

Sequence: Enter the sequence number in which the vaccine should be displayed in the list box.

Dosage: Many vaccines for children need to be given in multiple doses, each applicable to a different age range. All these details can be specified in this section:

Dose: Enter the dose number for the vaccine that is to be given to children.

From Age: Enter the starting age at which the vaccine can be given to children.

UpTo Age: Enter the age up to which the vaccine can be given to children.

Unit: Select the appropriate option (Month or Year) from the drop-down list in which the age is entered.

Gap: Enter the gap in months that should exist between the current and next vaccine dose.

Note: When the Adult / As Needed checkbox is checked, the Gap column is renamed to Gap Days, and the user can schedule the adult vaccines in days.

Constituent Vaccines List Panel: A combination vaccine is a vaccine that consists of two or more separate vaccines physically combined into a single dose to reduce the number of shots given. The list of active vaccines is displayed along with the Code and Vaccine Name. Vaccines once added to a combo vaccine are referred to as constituent vaccines. A constituent vaccine can be deleted from a combo vaccine using the available trash can icon. A combo vaccine can be deleted only if it is not associated with any encounter in which it has been administered. If a combo vaccine is deleted, it is deleted along with its associated constituents. An administered combo vaccine displays the list of its constituents on the Vaccination screen (Go to Encounter TOC Facesheet Vaccination) with the status as 'Administered'. If a combo vaccine has been 'unadministered'—i.e., the status of an administered vaccine is forcibly changed to upcoming (by removing the Adm. When date value and saving the record)—then the associated constituent vaccine(s) are removed from the system, while the combo vaccine remains with its status as 'Upcoming'. (Go to tab: TOC > Facesheet > Vaccine > Plus sign).

Note:

  • Combo vaccines cannot be added as a constituent vaccine to any other combo vaccine.
  • Vaccines that are defined as a combo vaccine cannot be added as a constituent vaccine within themselves.
  • A constituent vaccine that is part of a combo vaccine cannot be made into a combo vaccine.
  • A constituent vaccine that is part of a combo vaccine can also be part of another combo vaccine.
  • A maximum of nine constituents can be added to a combo vaccine.
Code: This field displays the code for the vaccine added to the combo vaccine.

Vaccine Name: Click the (+) button to add vaccines to create a combination vaccine.

Del: Click the icon against a vaccine to delete it from the combination vaccine.

Note: The user can enter standard instructions for each of the standard vaccines.

Active: The user can also flag a vaccine as inactive so that it is not used in any subsequent patient encounter.

Save Button: Click the button to save the record in PrognoCIS.

Delete Button: Click the button to delete the patient's record from PrognoCIS; a prompt confirming your delete action is displayed.

Reset Button: Click the button to reset the recently entered changes in the record before it was saved.

Edit CVX Button: Click the button to add new or edit existing details of the CVX code for vaccines.
