Topics Review and Close Encounters Search:  
Introduction: The Review Encounter Report provides an option to review and close encounters. The screen displays a list of all encounters which are not Reviewed and are either Closed or in Ready for Review status. For these encounters, the Attending Provider has the value as Optional or Mandatory on the Review Encounter dropdown field on the Provider Master screen.

Note: The encounters that are closed but not reviewed and have the same Attending Provider and the Supervising Provider are not shown in the list of encounters displayed on the screen.

A Reviewer Provider can review encounters by the reports generated on the Review Encounter Report screen. The Review Encounter Report screen gets invoked by navigating to the Reports →Review Encounter → Review Encounter Report popup.

The Review Encounter Report gets generated by selecting the desired parameters on the Review Encounter Report popup and clicking on the OK button. The report is generated based on the fields selected for Period, Attending Provider, Encounter Type, Appointment Location, and Status.

Field Description:

The label of the screen is based on the property review.and.close. If the property is turned ON, the label displayed is Review and Close Encounters and if the property is turned OFF, then the label displayed is Review Encounter. By default, the property value is set to OFF.

Print icon : Click on the print icon, to print the report displayed on the Review and Close Encounter screen.

Grey band: The grey band displays the Status and Period for which the report is run. If the report is run for Ready for Review status and for period 1st to 30th September, then display it as Ready for Review Encounters for Period 09-01-2022 to 09-30-2022.

Filter icon: Screen level filters can be applied by clicking on the Filter icon. Click on the Filter icon to invoke the Review Encounter Report popup. With the help of this icon, the user is not required to navigate to the Reports menu and select Review Encounter again to change the filters.
The fields displayed on the Review Encounter Report popup are:
  • Period
  • Encounter Type
  • Attending Provider
  • Appointment Location
  • Status
The green dot on the Filter icon implies that some filter is applied on the screen.

Zoom Column: On clicking the Zoom icon , the Progress Note popup gets invoked.

Progress Note popup: The Progress Note popup has a Review Encounter Tabular report that shows the encounter information. The fields displayed on the popup are:
  • Patient Name
  • Patient's DOB
  • Encounter Date
  • Attending Provider
  • Reason for Visit
  • Medication
  • Status of the Encounter
  • Supervisor's Name
The popup has two checkboxes:
  • Reviewed: Check the Reviewed checkbox to mark the encounter as reviewed.
  • Mark Encounter Complete/Sign Off: Check the Mark Encounter Complete/Sign Off checkbox to mark the encounter as closed. Once the Provider reviews the encounter, the Status of the Encounter changes to Closed and Reviewed.
The popup has two action buttons :
  • Ok: Click on the Ok button to confirm and apply the changes made on the popup.
  • Cancel: Click on the Cancel button to reset the changes and close the popup.
Checkbox Column: Check /Uncheck the checkbox to select /deselect the encounters listed on the screen. It is also possible to select all the encounters listed on the current page at once by checking the Select All checkbox on the header of this column. On clicking the Select All checkbox at a time 50 records from the current page are selected.

If moved to the next page without taking an action or clicked on any header for sorting, a Warning message is displayed, "There are selected items on the current page and no action is taken. Do you want to ignore the selected items and move to next page?" The Warning message popup has two action buttons:
  • Ok : Click on the Ok button to navigate to the next page without taking any action.
  • Cancel : Click on the Cancel button to remain on the same page.
Pending actions hence cannot close encounter icon : The encounters that were not closed has an icon next to the patient’s name as a suffix. The tooltip given on the icon is Pending actions hence cannot close encounter . Click on the icon to navigate to the Encounter screen and complete the pending actions.

Note: The Select All checkbox available at the header level is based on the property review.encounter.allow.selectall. If the property is turned ON the Select All checkbox at the header level of Review and Close Encounter screen is shown for the Reviewer to select all the rows on the current page that are to be reviewedat once. By default the property value for the property review.encounter.allow.selectall value is set to NO.

Patient Name Column: This column shows the name of the Patient.

DOB Column: This column shows the date of birth of the Patient.

DOS Column: This column shows the date of service of the encounter of the patient. This hyperlink navigates to the Encounter screen of the same date shown on theDOS column.

Enc Type Column: The column shows the Encounter type of the patient such as Office Visit.

Reason for Visit Column: The column shows the Reason of the visit of the patient.

Status Column: The column shows the status of the Encounter. The column displays the following statuses:
  • All: This option shows the encounters with statuses as Ready for Review, Custom statuses associated with Ready for Review, Open and Reviewed, and Closed but not Reviewed.
  • Ready for Review: Encounters which are marked as Ready for Review.
  • Custom Statuses: Display list of all users statuses that are mapped to system status ‘Ready of Review’. If there are none, then it only lists Ready of Review. Users can filter the list for custom statuses as required.
  • Open and Reviewed: Encounters which are reviewed but not closed/signed off.
  • Closed: Encounters marked as Closed.
Comments Columns: It displays the comments added by the user when he/she changes the patient workflow.

Att Provider Column: The column displays the name of the Attending Provider of the related encounter of the patient.

Supervisor Column: The column displays the name of the Supervising Provider of the related encounter of the patient.

Action button:
  • Review & Close button: Click on the the Review & Close button to mark the selected encounters as Reviewed and Closed. The screen refreshes and the previously selected rows are dropped from the list.
Note:
  • Based on property, review.and.close, the button displays either as Review & Close or Review. This property determines if the selected encounters should be marked as Reviewed and Closed or only Reviewed.
  • The existing functionality for filter field – Attending Provider should remain Intact, i.e., the list of providers displayed should be:

  • Providers assigned to the logged in Reviewer Provider.
    Providers who do not have a Reviewer Provider assigned.
Pagination: Pagination exist at the bottom right of the screen and each page can show upto 50 records. This option enables the user to navigate to first page , previous page , next page and last page .
