Topics Order Sheet: Select Tab Search:  
Introduction: The Order Sheet screen allows the user to order, maintain and track all Lab, Radiology, Consult, and Procedure orders from a single screen. You can track if tests have been performed for a referred patient without switching between individual order screens. A user can also see the list of inhouse drugs for patient and enter drug dispensing details from this screen.
Note: If an ordered Lab, Radiology, Consult or Procedure order is already present in a patient’s Health Maintenance with the status Result Received, then on the Health Maintenance screen, a hyperlink of the order number is displayed under the Result column. On clicking this hyperlink, the test result details are displayed.

Field Description
View Order: The list of orders (i.e. Lab/Radiology/Consult/Procedure) is displayed here. It is a horizontal scrolling list which displays about 7 orders at one time. Click on the left scroll icon: to view the next fixed list of orders, and click on the right scroll icon: to view the previous fixed list of orders. Following are the details of the View Order bar:
  • Lab: Lab Orders are identified by the letter ‘L’ displayed on the left side of the order number. The test name along with vendor name are displayed on hovering the mouse over the saved or created Lab Order.
  • Radiology: Radiology Orders are identified by the letter ‘R’ displayed on the left side of the order number. The test name along with vendor name are displayed on hovering the mouse over the saved or created Radiology Order.
  • Consult: Consult Orders are identified by the letter ‘C’ displayed on the left side of the order number. The test name along with vendor name are displayed on hovering the mouse over the saved or created Consult Order.
  • Procedure: Procedure Orders are identified by the letter ‘P’ displayed on the left side of the order number. The test name along with vendor name are displayed on hovering the mouse over the saved or created Procedure Order.
  • All the Orders that are in Ordered status are displayed with a tick mark.
  • All the Orders that have not yet been ordered can be deleted by clicking on the cross icon next to the order names.

Select Tab - LHS

The Select tab of Order Sheet screen displays tests that are yet to be ordered. These tests are listed under Lab, Radiology, Consult, Procedure and Quick tabs. Selected orders are listed under the Selected List/Orders section on the right side of the screen. Additional buttons on this tab are Add ICDs, Justifications and Add to Order Set.

Add ICDs button: On click of this button, two options are displayed: General and Past ICD from where the user can choose ICDs. Selecting the General option invokes the IMO Search Diagnosis Codes popup and selecting the Past ICD option displays the Add Past Medical History ICD Codes popup. The area or section next to the Add ICDs button displays all the ICDs that have been either added from the Assessment screen (Dark Cyan colored ICDs) or added from the Order Sheet screen (Olive colored ICDs). The assessment ICDs are displayed first followed by non-assessment ICDs of the current encounter.
Note: If ICDs added exceeds the available space, then three dotted continous ellipses are displayed and each ICD added after that is displayed on the tooltip.

Tabs - Lab/Radiology/Consult/Procedure/Quick:
User can create Lab/Radiology/Consult/Procedure orders by clicking on these tabs. The user can selected a vendor, choose between test options from the Preferred/All/HM/Order Set radio buttons, and filter the test names from the Filter By drop-down list and search field.

Rx Button: Click on the Rx button to invoke the Prescription screen in a popup. You can select and add drugs from this popup and also send the prescription to a selected pharmcy. All the functions on the Prescription screen like Print, Fax, eRx, ePA are allowed. All the actions from the Prescription popup are reflected on the Prescription screen and vice-versa. If the value Rx - Prescription is selected in the property os.icd.mandatory.fortest, then it becomes mandatory to associate ICDs to the drugs added to the patient's prescription from the Prescription popup. if the user clicks the update button or save button on the Prescription popup to update the record for the selected drug or save the drug without associating ICDs, a validation message is displayed prompting the user to associate ICDs to the selected drug.

DME Button: Click on this button to invoke the DME tab of the Encounter TOC → Items/DME screen in a popup to allow the addition of DMEs to the encounter via the Order Sheet. A close button is provided on this popup to close it. If the value DME - Items/DME is selected in the property os.icd.mandatory.fortest, then it becomes mandatory to associate ICDs to the DMEs added to the patient's Order Sheet from the Items/DME popup. If the update button or save button is clicked on the Items/DME popup without adding the ICD codes, then an error message: The following DME(s) have no ICDs selected. Please select ICD. is displayed along with the list of DMEs which do not have ICDs associated. If the selected DMEs have justification templates associated, then a Justification popup automatically appears on closing the Items/DME popup. The justification templates associated with the DMEs which must be answered and saved before proceeding.
Notes:
  • DMEs are not included in the Order Set creation from Order Sheet screen.
  • The admin level property os.icd.mandatory.fortest is applicable for DMEs.
  • The Assign ICDs rule is not applicable to DMEs.
  • DMEs are not considered in pending orders during Encounter close.
J Button: The J icon to invoke this popup is displayed on the Order Sheet screen when the property, prognocis.enable.justification.feature is set to ON. This icon is enabled only when the selected test having Justification Template associated to it has been saved. Despite selecting a test and clicking the Save icon, if no Justification template has been associated to it, the J icon remains disabled. Click on the J icon invokes to invoke Justification popup. You can provide a justification i.e. answer questions to justify the test on this popup that has been selected for Lab, Radiology, Consult, Procedure, Rx or DME. When the J icon is disabled, No data is displayed in the tooltip. When the J icon is enabled but questions have not been answered, the J letter on the icon is completely blue in color and Justification/s is displayed in the tooltip. When the J icon is enabled and the questions have been answered then the J letter on the icon is red and blue in color and Justification/s with data is displayed in the tooltip.

I. Selection Pane on the Lab/Radiology tabs:
  • Vendor: Displays the list of (active) labs available. By default, 'Any Lab/Rad' is selected.
  • Preferred: Displays Doctor preferred list of Lab/Radiology tests (on the Display pane) for the Vendor selected, followed by Clinic preferred list. The option remains selected by default only if there are tests available in the Preferred List.
  • All: Displays active Lab/Radiology tests (on the Display pane) that are supported by Patient’s gender (male/female/both) and supported by the Vendor selected. The option remains selected by default only if there are no tests available in the Preferred List.
  • HM: Displays Lab/Radiology tests (on the Display pane) which are added in the Health Maintenance with status as Due and Tentative.
    Note: There is a cut-off period considered with respect to the Due date. Cut-off period is calculated by adding the Encounter date to the No. of days configured in the property, os.dueafter.days. Thus only when the Due date for a test on the HM screen is less than the cut-off date, is the test displayed.
  • Order Set: Displays the Order set name, the tests which are included in that Order set, supported by Patient’s gender followed by Last Order/Result date. The Vendor drop-down list displays, ‘Any Lab’ as default selection (disabled) and the Filter By drop-down list option has ‘Order Set Name’ text displayed. Order Set option displays only of type ‘LB’ (Lab)/‘RL’ (Radiology) respectively.
  • Filter By: The drop-down list displays the criteria such as All, Panel, Test Name, Category, and LOINC Code to filter and display tests on the Result/Display pane. The text field next to the Filter By drop-down list is used for manual search.
Result/Display Pane: The first column displays the Select button: which on click transfers the selected test to the right side section. The first column is the same for all five tabs.

The other columns displayed on Lab/Radiology tabs are Test Name, Category, and Last Order/Result. Under the Last Order/Result column, dates are displayed as hyperlinks which on click invoke the Order or Result popup respectively; it is easy to distinguish an Order date from Result received dates as the icon: when prefixed to a date indicates it to be order date of an Order and the icon: when prefixed to a date indicates it to be order date of Results received for the Order.

II. Selection Pane on the Consult tab: Consult is the third tab on the Order Sheet screen. On this tab, a listof all consults that are added from the Consult Master screen are displayed. This includes a list of pre-defined In-House as well as Externals Consults. Following are the fields displayed on the Order Sheet Consult tab.
  1. Vendor: This field is disabled on the Consult tab, just like it is on the Procedure tab.
  2. Radio buttons below the Vendor tab:
    • Preferred: This radio button is not applicable for Consult orders, hence always stays disabed.
    • All: Select this radio button to see all the Active consults on the Order Sheet Consult tab that support male/female/both genders as well as all the specialties, defined from the Consults master screen.
    • HM: Select this radio button to see the Consults that are added in the Health Maintenance with status as Due or Tentative.

    • Note: To display the Consults related to Health Maintenance, a cut-off period is considered with respect to the Due Date of the Health Maintenance. The cut-off date is calculated by adding the Encounter date to the number of days configured in the property os.dueafter.days . The HM consults display only when the due date of the consult on the Health Maintenance screen is less than the cut-off date.
    • Order set: Select this radio button to display the Order Sets of the type CM, i.e. Consult.
  3. Filter By: Select an option from this dropdown to filter the Consults being displayed on the tab. This dropdown has 3 options- All, Specialty and Consults. To search a specific consult, type the name of that consult in the search field next to the Filter By dropdown.
  4. Consult Order table: Below the Filter By field, a table displays all the Consult orders defined from Consult Master screen as mentioned above. This table has following columns:
    • Consult Name: This column displays the name of a consult order.
    • Specialty: This column displays the specialty of a consult order, specified while defining the Consult on the Consult Master screen.
    • Provider Name: This column displays the name of the referred provider to whom the consult is being sent to.
    • In case while defining a consult, the Pref. Provider field is left blank on the Consults Master screen, instead of the name, an Assign Provider hyperlink is displayed. On clicking this hyperlink, the Consult Provider popup is invoked. A Consult Provider can be selected from the popup.
    • Provider Type: This column displays the Provider Type as DR, RD, ZE and ZR, based on which, whether consult order is In-House or External is decided. If the Provider Type is DR, the consult is In-House. For the rest of the types, a consult order is considered as External. For more details regarding the Provider Types, kindly refer the following table:

Creating a new Consult Order from Order Sheet Consult tab: Click on the Select button in front of every consult name to add that consult in the Selected List/Order tab on the right and click on the Save or Create Order button on the bottom right corner. To cancel and un-select the consult, click on the Reset button. Once a Consult Order is created, an auto-generated order number for the same is reflected in the View Orders tab on top of the screen, below the patient information band. The order number has 8 digits and a prefix CN, indicative of Consult.

The following radio buttons are present for Consult Orders:
  • Preferred: Displays Doctor preferred list of Consult tests (on the Display pane) for the Vendor selected, followed by Clinic preferred list. The option remains selected by default only if there are tests available in the Preferred List.
  • All: Displays active Consults tests (on the Display pane) that are supported by Patient’s gender (male/female/both).
  • HM: Displays Consults tests (on the Display pane) which are added in the Health Maintenance with status as Due and Tentative. Note: There is a cut-off period considered with respect to the Due date. Cut-off period is calculated by adding the Encounter date to the number of days configured in the property os.dueafter.days. Thus only when the Due date for a test on the HM screen is less than the cut-off date, is the test displayed.
  • Order Set: Displays Order Sets only of type CM (Consult) on the Consult tab.
Note: The prefix and length of the consult orders can be configured with the properties consult.ordernumber.prefix and consult.ordernumber.length.

Result/Display Pane:
The first column displays the Select button which on click transfers the selected test to the Right side section.

The other columns displayed on Consult tab are Consult Name, Specialty and Consult Provider. Under the Consult Provider column, if the Consult Provider information is not available or present for any Consult then the Assign Provider link is displayed instead. On click, the Assign Provider link invokes the Consult Provider Search popup and the Assign Provider link is replaced with the selected value immediately after a Provider is assigned.

III. Selection Pane on the Procedure tab
A list of In-house as well as External Procedures that are added from the Procedure Master (Goto menu: Settings → Configuration → Workflow column → Procedure) is displayed. Procedures are categorized into types such as In-house (for procedures done within the clinic) and External (for procedures done in external clinic; the distinction is clear with the Type column displaying it as In-house or External.
Note: The Procedure list displayed is Gender based i.e. for Male patients, Procedures defined for male and both are displayed.

The following elements are present for Procedure Orders:
  • Vendor: This dropdown list is Not Applicable for Procedure tab.
  • Preferred: This option is not applicable for Procedure tab and so appears disabled.
  • All: This option displays active Procedure tests (on the Display pane) that are supported by Patient’s gender (male/female/both).
  • HM: This option displays Procedure tests (on the Display pane) which are added in the Health Maintenance with status as 'Due' and 'Tentative'.
  • Order Set: Displays Order Sets only of type PR (Procedure) on the Procedure tab.
  • Filter By:
  • This dropdown list is not available for Procedures, but the Filter text field is available wherein the results are filtered for display depending upon the text entered.
Result/Display Pane:

The first column displays the Select button which on click transfers the selected tests to the Right side section. The other columns displayed on the Procedure tab are Procedure Name, Type, and Last Order/Result. Under the Last Order/Result column, the dates hyperlinks are displayed which on click invoke the Order or Result popup respectively; it is easy to distinguish an Order date from Result received dates as the icon: when prefixed to a date indicates it to be order date of an Order and the icon: when prefixed to a date indicates it to be order date of Results received for the Order.

IV. Selection Pane on the Quick tab
Tests of all type (i.e. LB, RL, CM, PR, and additionally OS) are displayed in a common list, thus creating a one-point entry to select and Order tests. The tests of type, Order Sheet or OS are defined from the existing Order Set Master screen (Goto tab: Settings → Configuration → Workflow column → Order Set.

The following elements are present for Quick tab:
  • Vendor: This dropdown list is Not Applicable for Quick tab.
  • Preferred: This option is not applicable for Quick tab and so appears disabled.
  • All: This option displays all types of active tests that are supported by Patient’s gender (male/female/both).
  • HM: This option is not applicable for Quick tab.
  • Order Set: Displays Order Sets of all types on the Quick tab.
  • Filter By:
  • Four options: All, Name, Type and Category are is available in this dropdown. The Filter text field is available wherein the tests can be filtered for display depending upon the text entered.
Result/Display Pane:

The first column displays the Select button: which on click transfers the selected test to the Right side section. The columns displayed on the Quick tab when All option is selected are Name, Type, Category and Last Order/Result whereas when the option Order Set is selected then columns such as Orderset, Name (of the tests), Type and Last Order/Result are displayed.

Note:
  • If tests belonging to an Order Set are gender based then these tests are displayed based on the gender of the Patient. For example, for a male patient, only Male tests are displayed.
  • Tests added from Quick tab on the left to the right side are displayed under the respective category of accordion e.g. Lab tests under Lab Order; Radiology tests under Radiology Order, etc.

Select Tab - RHS

The Selected List/Orders section consists of accordion panels of Lab, Radiology, Consult, Procedure and Prescription (Rx) orders. Each test is displayed vendor-wise. For example, the tests of Lab Vendor Lab Corp would have all lab tests under the same Lab Vendor.
A click on the toggle arrows expands/contracts the section and displays the details of individual tests. Tests are transferred from the left side section to the respective section on the right side with a click on the Select icon: Right scroll order arrow

On Lab Order/Radiology Order accordion:

On the right side, the Lab/Radiology Order accordion displays the details of the test such as Vendor Name, Order Number (if any), Order Status (if any), Test Name and assigned ICD details available in the Assessment for that encounter (if any) are displayed.

Assign ICDs button: User can assign ICD codes present in Patient Assessment to all tests from the Test-ICD Mapping popup invoked on clicking on this button. The popup displays all assessment ICDs and non-assessment ICDs available for assignment. ICDs selected and assigned are displayed along with the Test details. ICDs can be removed or reassigned from the same popup but only for tests with no status.

Note:
  • The limit for the number of ICDs that can be assigned is defined in the property order.assign.max.icds. This is an admin level property and values are entered in range of 4 to 25. The default value is set to 25.
  • Total number of ICD’s will be selected automatically depending on the Rule set in the property order.assign.icds.rule and the value entered in the property order.assign.max.icds.
    For Example, if value of the property order.assign.icds.rule is set to "A" and value of the property order.assign.max.icds is set to 10, then only the first 10 ICDs from the entire list (Assign ICD popup) will be selected automatically.
  • Aforementioned functionality is available for Consult Order and Procedure Order accordion as well.
Vendor Name: This dropdown list displays the Vendor list.

Order Number: Order Number is displayed in the brackets if an Order is created for the Test. The Order Status (Entered, Approved, Ordered or Deleted) is displayed beside the Order Name. For Tests saved in the Order Sheet for which an order is yet to be created, no status is displayed.

Note: Tests that have been deleted in the current encounter are also displayed here.

Comments icon: This icon invokes different popups for Lab and Radiology. The maximum character entry allowed in the comments for Lab section is 1024; for Internal Comments and Report Comments sections are 300 each.

Test Name: Displays the test name.

ICD: On clicking this hyperlink, an ICD Mapping (Assign ICDs) popup is invoked, and through the popup it is possible to change the assigned ICDs. This hyperlink is available only when an Order is in the Entered state. If the values LB - Lab Order and RD - Rad Order are set in the property os.icd.mandatory.fortest, then a red asterisk * is displayed to the left of this hyperlink and it becomes mandatory to associate ICDs to Lab & Radiology orders respectively. When the user selects a test and clicks on the Save or Create Order buttons, then as per the type of test selected, a validation message is displayed which indicates the user to associate ICDs to the selected tests.

CPT/HCPC: This hyperlink is displayed if the patient’s insurance is EDI enabled and is associated with the patient’s encounter as the Primary or Secondary insurance, and the selected Lab/Radiology test does not have any CPT/HCPC codes associated on the Lab Test/Radiology Test Master screen. Clicking this hyperlink invokes an Assign Codes CPT/HCPC popup which can be used to assign a maximum of 10 CPT/HCPC/SNOMED codes to the test. This hyperlink becomes disabled after saving and creating the order and the codes cannot be removed. These codes are carried over and saved on the encounter’s Assessment screen with source as OS after the order is created.

Note:
  • The limit for the number of ICDs that can be assigned is defined in the property order.assign.max.icds. This is an admin level property and values are entered in range of 4 to 25. The default value is set to 25.
  • Total number of ICDs will be selected automatically depending on the Rule set in the property order.assign.icds.rule and the value entered in the property order.assign.max.icds.

  • Aforementioned functionality is available for Consult Order and Procedure Order accordion as well.
Now checkbox: The option when selected schedules the Order in the current moment.

Future checkbox: The checkbox, when selected enables its dropdown list to display future time duration in days; weeks; months; and year, etc. The options displayed in this dropdown come from System Group Type Follow Up Days Period (FP). An additional dropdown option - appears in the Future dropdown depending on the property os.future.showblankoption. If this property is turned On, then:
  • The - option is added and selected as the default option in the Future dropdown for Lab and Radiology orders on Order Sheet screen. When this option - is selected, then on creating the Lab/Radiology order from Order Sheet screen, the Scheduled On field is displayed as blank.
  • The - option is added and selected as the default option in the Schedule dropdown for Procedure orders on Order Sheet screen ONLY if the existing property procedure.schedule.default.value is blank. When this option - is selected, then on creating the Procedure order from Order Sheet screen, the Scheduled Date field is displayed as blank.
If the property os.future.showblankoption is turned Off, then the - option is not displayed in the Future dropdown for Lab and Radiology orders as well as in the Schedule dropdown for Procedure orders on Order Sheet screen. In this case, the Scheduled On / Scheduled Date fields would display the date as per the options selected in the Future dropdown and Schedule dropdown respectively.

Note: If both the options, Now and Future are selected then the system creates two orders, one for now and the other for future scheduled day.

The admin level property os.default.schedule.nowfuture determines the default Schedule for Lab and Radiology Tests when they are being ordered from the Order Sheet screen. The property os.default.schedule.nowfuture has three options: they are: 0 – None, 1 – Now and 2 – Future. By default, 1 – Now is selected.
  • If the property is set to 0 – None, the Lab/Radiology tests when selected from the LHS on the Order Sheet screen are displayed under Selected List/Orders accordion with Now and Future checkboxes unchecked by default. If the user clicks on the Save button, a confirmation message is displayed: Now / Future are unchecked for following test(s) and will be removed: (Lab) Test Name (Rad) Test Name Do you want to continue? On clicking the OK button, the confirmation message popup closes and Save Successful message is displayed in the header of the Order Sheet in green. The tests for which Now and Future checkboxes were unchecked are removed with this action. If the Cancel button is clicked, then the confirmation message popup closes and the user can check either the Now or Future checkbox or both the checkboxes then click on the Save button to save the details.
  • If the property is set to 1 – Now, the Lab/Radiology tests when selected from the LHS on the Order Sheet screen are displayed under Selected List/Orders accordion with Now checkbox checked by default.
  • If the property is set to 2 – Future, the Lab/Radiology tests when selected from the LHS on the Order Sheet screen are displayed under Selected List/Orders accordion with Future checkbox checked by default.
Reason: When the property os.hide.reasonfield is set to OFF, the Reason field is displayed under Radiology Order accordion. Enter reason for ordering a Radiology test in this field or click on the Reason Search icon next to the field to invoke Radiology Reason Notes popup to add reason. The character limit of this field is 5000 characters. The Reason field can be expanded or resized to show data added in the field. This functionality is applicable both before and after saving the data in the Reason field.

On Consult Order accordion

On the right side, the Consult Order accordion displays the details of the test such as Consult Name, Consult Order Number (if available), Order Status (if any), Consult Provider name, reason for consult, and the assigned ICD details available in the Assessment for that encounter (if any). The Order Number is displayed only if an Order has been generated.

Frequency Remarks: This field is displayed when the property os.consult.show.frequency is set to ON. Enter comments related to frequency of consults of a Patient. When the property os.consult.show.frequency is set to ON, the Reason field is not displayed even when the property os.hide.reasonfield is set to OFF. When the property os.consult.show.frequency is set to OFF and the property os.hide.reasonfield is set to OFF, the Reason field is displayed under Consult Order accordian.

Reason: When the property os.consult.show.frequency is set to OFF and the property os.hide.reasonfield is also set to OFF, the Reason field is displayed under Consult accordion. Enter a reason for ordering a Consult in this field or click on the Reason Search icon next to the field to invoke Consult Reason Notes popup to add a reason. The character limit of this field is 5000 characters. The Reason field can be expanded or resized to show data added in the field. This functionality is applicable both before and after saving the data in the Reason field.

UDF button: This button is shown when the property udf.supported.types has the value 18 – Consult saved and User Defined Field Names and Sequence are set on the UDF Master screen for Consult. Users can change the label and tooltip of this button through the property udf.type.label. Click on this button to invoke Details for popup and add details in the configured fields. A checkmark is displayed on the button to indicate that details are present on the popup and data is shown beside the button with pipe separators. More... option can be clicked to expand space and show complete UDF data whereas Less... option can be clicked to collapse space and show only the amount of data that can be seen in a single line.

ICD: On clicking this hyperlink, an ICD Mapping (Assign ICDs) popup is invoked through which it is possible to change the assigned ICDs. The hyperlink is available only when an Order is in the Entered state. If the value CO - Consult Order is set in the property os.icd.mandatory.fortest, then a red asterisk * is displayed to the left of this hyperlink and it becomes mandatory to associate ICDs to Consults orders. When the user selects a test and clicks on the Save or Create Order buttons, then as per the type of test selected, a validation message is displayed which indicates the user to associate ICDs to the selected tests.

CPT/HCPC: This hyperlink is displayed if the patient’s insurance is EDI enabled and is associated with the patient’s encounter as the Primary or Secondary insurance, and the selected Consult test does not have any CPT/HCPC codes associated on the Consult Test Master screen. Clicking this hyperlink invokes an Assign Codes CPT/HCPC popup which can be used to assign a maximum of 10 CPT/HCPC/SNOMED codes to the test. This hyperlink becomes disabled after saving and creating the order and the codes cannot be removed. These codes are carried over and saved on the encounter’s Assessment screen with source as OS after the order is created.

Consult Provider: Displays the name of the Provider selected for the Consult. Consult Providers for Consult Orders in Entered status or no status can be changed from the Consult Provider search popup invoked on clicking on the Search Consult Provider icon. A new Consult Provider can be added by clicking on the Add New icon.

On Procedure Order accordion

On the right side, the Procedure Order accordion displays the details of the test such as Procedure Name, Procedure Type indicator icons: (indicating In-house Procedure) and (indicating External Procedure), Procedure Order Number (if available), Procedure Status (if any), (Procedure) Performing Provider name, and the assigned ICD details available in the Assessment for that encounter (if any). The Order Number is displayed only if an Order has been generated.

ICD: On clicking this hyperlink, an ICD Mapping (Assign ICDs) popup is invoked through which it is possible to change the assigned ICDs. The hyperlink is available only when an Order is in the Entered state. If the value PR - Procedure Order is set in the property os.icd.mandatory.fortest, then a red asterisk * is displayed to the left of this hyperlink and it becomes mandatory to associate ICDs to Procedure orders.

CPT/HCPC: This hyperlink is displayed if the patient’s insurance is EDI enabled and is associated with the patient’s encounter as the Primary or Secondary insurance, and the selected Procedure test does not have any CPT/HCPC codes associated on the Procedure Test Master screen. Clicking this hyperlink invokes an Assign Codes CPT/HCPC popup which can be used to assign a maximum of 10 CPT/HCPC/SNOMED codes to the test. This hyperlink becomes disabled after saving and creating the order and the codes cannot be removed. These codes are carried over and saved on the encounter’s Assessment screen with source as OS after the order is created.

Performing Provider: Displays the name of the Provider responsible for performing the Procedure. This is a property dependent field and appears as blank when the property order.procedure.performing.doc.blank is turned On, Performing Providers for Procedure Orders in Entered status or no status can be changed from the Medics search popup invoked on clicking on the Select Performing Provider icon. The Medics search popup displays Providers of type: RD (Referring Provider); DR (Attending Provider); ZE (Organization Provider); ZR(Referring Organization). If the property order.procedure.performing.doc.blank is turned Off, then the Attending Provider name will be displayed by default in the Performing Provider textfield.

Reason: When the property os.hide.reasonfield is set to OFF, the Reason field is displayed under Procedure accordion. Enter reason for ordering a Procedure in this field or click on the Reason Search icon next to the field to invoke Procedure Reason Notes popup to add reason. The character limit of this field is 5000 characters. The Reason field can be expanded or resized to show data added in the field. This functionality is applicable both before and after saving the data in the Reason field.

UDF button: UDF button is shown when the property udf.supported.types has the value 15 – Procedure saved and User Defined Field Names and Sequence are set on the UDF Master screen for Procedure. Users can change the label and tooltip of this button through the property udf.type.label. Click on this button to invoke Details for popup and add details in the configured fields. A checkmark is displayed on the button to indicate that details are present on the popup and data is shown beside the button with pipe separators. More... option can be clicked to expand space and show complete UDF data whereas Less... option can be clicked to collapse space and show only the amount of data that can be seen in a single line.

On DME accordion This DME cell displays the list of DMEs added in the encounter from the Items/DME screen or from the DME button. This cell is a display-only cell and displays DME information such as the Name, Stocking Unit, Manufacturer and ICD codes associated with the DME.

Order Tab

The following table displays the significance of Order statuses:

On Consult Order tab
The Consult Order tab displays the order details as entered in the Select tab. Only the Order By, Reason, ICD link, Order Date fields in the section are editable. For order statuses and their significance refer to the table above. An entry for CO (Consult) gets created on the PreAuth Tracking screen even when the Consult To/Refer To Provider has not been associated to the Consult Order on the Order Sheet screen provided the property rfa.order.types has the value CO - Consult selected and the Encounter Type selected for the Encounter for which the Consult Order is being created has the Requires Authorization checkbox selected on the Enc Types Master screen.

Frequency Remarks: Enter comments related to frequency of consults of a Patient. The character limit of Frequency Remarks field is 255 characters. The field is editable only in Entered and Approved Order Status of Consult. The Frequency Remarks field on the Order tab of Consult Order on Order Sheet is irrespective of the property os.consult.show.frequency.

ICD: User can assign ICD codes from Patient Assessment by clicking on this hyperlink.

Note:
  • The limit for the number of ICDs that can be assigned is defined by property order.assign.max.icds. This is an admin level property and values are entered in range of 4 to 25. Default value is set to 25
  • The total number of ICD’s will be selected automatically, depending on the value set for propertyorder.assign.max.icds.
    For Example, if value of the property order.assign.icds.rule is set to "A" and value of the property order.assign.max.icds is set to 10, then only the first 10 ICDs from the entire list (Assign ICD popup) will be selected automatically.
  • Aforementioned functionality is available for Procedure Order tab as well.
Refer To: This section displays details such as name, telephone number, address, email address (if available), n2n email address (if available). On clicking this Refer To, the Consult Providers search popup is invoked (displaying Providers of type, DR; RD; ZE; and ZR).

CC: Clicking this hyperlink invokes the Medics search popup with the categories of types such as Medics; Address Book; Others; Surescript.

Consult tab: Editable fields are Subject (only if the status is Entered or Approved); Fax Coversheet option; Attach (only if the status is Entered or Approved); and the text editor. The working and functioning of the Consult tab is similar to the as the existing functionality of Letters-Out; the text area displays the Letter Template HTML associated to the Consult Master. It is possible to edit the Letter body only if the status of the Order is Entered or Approved. The Attach icon, on click invokes the Document List search to choose an attachment.

Response tab: This tab is enabled for Orders in Ordered status. The Attachment button on the tab gives provision to attach Consult Report either from the Users computer or from the Document List.
Consult Attach is available from three locations:
  • Patient → Letters-In
  • Messages → Attach Center
  • Messages → Scan/Local Attach
Note:
  • A new consult property defines the sequence in the Document List for type Consult. On the Document List, if Consult Order is available, then Order is displayed, and if the result is available then Consult Result is displayed.
  • Once a Consult Result is attached, the is enabled. When review comments are entered, the Order Status changes to Complete & Reviewed.
On Procedure Order tab

The UI of the Procedure Order tab consists of order details at the top followed three tabs: Procedural, Checklist and Attachments to add the results. The Procedure Order allows users to:
  • Visit Patient’s past ICD; Face Sheet; Document List; and Doctor Form.
  • Assign ICD codes from Patient Assessment by clicking on the ICD hyperlink.
  • Copy from existing Procedures present in the Patient’s encounter.
  • Review results of Procedures done.
  • Assign optional CPT/HCPCs.
  • Enter Review comments for the results received.
Note:
  • A newly created Procedure Order displays order details with the status Entered. If the user has access rights defined for CPOE, then the status displays as Approved.
  • The Order status changes from Entered/Approved to Results Received if Procedural form details are entered and saved, and also if any attachments are attached to the order form and saved on the Attachment tab.
  • The Checklist tab remains disabled if the Procedure does not have a Procedure Checklist associated. This tab is available for entering details if the Procedure has a Procedure Checklist associated.
  • A Procedure Checklist form when filled and saved, does not impact the Order status.
Hint iconHint: The CPT/HCPC button is enabled if the Procedural template has optional CPT/HCPC assigned to it. The DocForm icon is enabled if the Procedural template has a doctor form associated with it.

Preview of Procedure Order: On preview of a Procedure Order (with statuses Entered/Approved/Ordered) the Procedure Order details are displayed followed by Procedure Checklist details.

Preview of Procedure Result: On Preview of Procedure Result (with status Result Received) the Procedure Order details are displayed followed by Attachments (if available) and then followed by Procedure Checklist details (if Print template available).

Note:
  • The templates used are Procedure Order Templates (as selected in the Procedure Master) and Procedure Checklist template (assigned in Clinic Forms); if print template of Procedure Order is not defined then system considers the default template for preview and print. If the print template of Procedure Checklist is not defined then the Procedure Checklist details are not displayed on preview and print.
  • No Fax or Email or Download options available for In-house Procedure.
External Procedure Order: The External Procedure Order screen is same as Letters-Out screen. The Attach icon on click invokes the Document List screen. The External Order once ordered is removed from the Orders list.
Note: PreAuth Status label is displayed on Order tab for Lab, Radiology, Procedure and Consult Order. For this label to get displayed, there are three prerequisites:
  1. The property prognocis.rfa.enabled should be set to Y.
  2. The property rfa.order.types should have the value LB – Lab, RL - Radiology, CO - Consult and PR - Procedure selected.
  3. The Encounter Type used in the Encounter for which the Order is created should have the Requires Authorization checkbox checked in the Enc Types Master screen.
When a new Order is created, the PreAuth Status label along with the keyword "Created" gets displayed. The RFA Response Status selected on the PreAuth Tracking screen is displayed in front of the PreAuth Status label on the Order tab. Partial statuses are displayed for multiple tests with different RFA Response Statuses as on Order tab for Lab and Radiology. The different statuses that can be displayed here are Created, Approved, Modified, Denied, Appeal, Sandhagen, Sent, Partially Approved, Partially Appealed and Partially Denied. When the conditions for RFA are not met, the PreAuth Status label is not displayed on the Order tabs of Order Sheet screen. The PreAuth Status column displays test level statuses for Lab and Radiology.


Action Buttons

Create Order: Click this button to create the selected order.

Save: Click this button to save the order or any updates made in the order details.
Note: When the admin level property order.sheet.hide.save is turned On, the Save button will not be displayed for Lab/Radiology/Procedure/Consult/Quick tabs.

Reset: Click this button to revert any unsaved changes made on the page.
