1 Introduction

The release note describes the various new features and enhancements carried out in Version 2.0 Build 7 of PrognoCIS TM . Release Notes describes the new features specifications with UI details wherever applicable.

 

2 Features

 

2.1 Preview- One Touch Scan

Provided a provision to preview the scanned document before attaching it to any screen.

On the screen Messages > Scan , 'Preview' checkbox is provided for One Touch Scan. This feature enables the user to preview the scanned document and decide if the scanned document is to be attached or discarded.

The preview of the scanned document is displayed in a new popup window 'Scan Preview' with buttons 'Attach' and 'Cancel' .

 

Please note that 'Select Source' and 'Interface' are checkboxes not available when 'Preview' checkbox is checked.

 

 

2.2 Letters- Out

Letters- Out screen lets the user to make letters to be sent quickly to other users or patients with the help of predefined templates. Sometimes the user needs to send multiple letters at a time. The feature ‘ Append' on the Letters- Out screen enables the user to do so.

On screen Patient > Letters- Out ,

  1. Select a template from the list ‘ Letter' . This will be the default template.
  2. Click on next to ‘ Append' .

 

  1. A new window will display a list of the available templates, from which the user can select multiple templates by clicking on the checkboxes against each template name.
  2. Click ok to append these selected templates to the default template selected from the list in ‘ Letter' .

 

  1. The multiple letters are separated by Page Break in the body. The user can edit these letters.

2.3 Patient Portal

Provided options to add Language , Ethnic Group and Race on Patient Portal . The property 'pp.basic.otherinfo.mandatory' is added and if set to ' Y ' then fields are mandatory and vice- versa.

In Patient Portal the fields Language , Ethnic Group and Race can be entered by;

•  Basic Details Sub Menu: Here, go to Patient Profile > Basic Details sub menu. At the bottom of the screen the fields Language, Ethnic Group and Race can be seen.

 

•  Basic Details Menu: Basic Details menu from the Patient Workflow options.

 

•  Sign In screen: On the index page of the Patient Portal , when the Sign In button is clicked; the Patient Registration window pops up wherein the fields Language , Ethnic Group and Race are at the bottom of the screen.

Note : If the fields Language , Ethnic Group and Race are mandatory and not selected then a message ‘ Language, Ethnic Group and Race are mandatory ' is displayed.

 

 

2.4 Number of refills on Current Medication/ Past Rx screen

There is a provision to display number of refills on the current medication screen.

On the screen Patient > Encounter > Current Medication , the number of Refill is displayed just after Upto Date column.

Note: This Refill information displayed is the one entered on Prescription screen.

 

 

2.5 Option to reschedule the No Show appointments

‘ No Show' appointments can now be rescheduled and their status can be changed to ‘ Schedule' .

On the screen Appointment > Schedule , under the section ‘ Patient Info' click on ‘ Patient Workflow' button to change the status from ‘ No Show' to ‘ Schedule' . Also, after this for the patient the ‘ Mark Arrival' option is enabled.

 

 

 

 

 

2.6 Health Maintenance

Added a provision to show history of HM tests. On the screen Patient > Encounter > Health Maintenance , under History , the user can see a list of all the tests whose statuses were either ‘ Done' or ‘ Non - Compliance' or ‘ Not Required' .

 

In the popup Health Maintenance History, the history of tests (Done, Non- Compliance and Not Required) are displayed in columns Type, Test, Status, Date, and Result .

 

 

2.7 Add New option for Language

On Patient > Register screen, the user can now add a new language using the ‘ Add Language' button next to the field ‘ Language' under the tab ‘ Other Info .'.

 

The newly added Language is available under the Language dropdown list as shown in the above screenshot.

 

 

2.8 Zoom in option for patient's photo on Encounter screen

An option to zoom in the patient's photo is provided on encounter screen. 'Click to Zoom' tooltip can be seen on patient's photos as shown below. On clicking the image, it is zoomed in; displayed as a modal popup with a 'Close' option.

 

 

 


2.9 Document List

There are submenu options Lab Results , Radiology Results , Progress Notes , Letter In , Letter Out and Patient Notes added on Patient > Encounter > Document List . The above sub menu options are displayed on mouse over to Document List .

On clicking Document List , it will display the entire list of documents. Whereas clicking on sub menu will ONLY show the selected submenu documents. Suppose, if a user selects Progress Notes from the sub menu, then ONLY progress notes will be displayed with the Filter Options.

 

 

 

2.10 Increase the Notes Limit

Notes entered in PrognoCIS can be unlimited. Earlier the user could enter only 5000 characters in Notes and this was sometimes insufficient. Increase in Notes limit have been done for the following screens:

2.11 Letters- Out

On the screen Patient > Letters- Out , the checkbox ‘ Send' is automatically checked for all the rows when any information (like Name, Email, Fax or Address) is entered.

 

 

2.12 Time Slot on Start Encounter

On the screen Patient > Encounter > Start Encounter ; for a new encounter Time Slot is available next to the field for Date. It is optional for the users.

 

 

2.13 Procedure on Order Sheet

A provision to add procedural template from order sheet is available. There is a separate tab in the Order Sheet that allows adding the Procedural templates in Specialty. The user can click on Specialty from the Order Sheet and browse to specialty template.

•  The Procedure template can be selected by clicking on the plus sign.

•  When the user clicks ‘ save' the status changes to ‘To be Processed' .

•  After the procedure is saved, the Procedure template will be added to the Specialty screen. A hyperlink is provided with the Specialty template name so that the user can browse to the Specialty screen from the link provided.

•  Home page status will be Process P .

•  When the user saves the information of the procedure template on Specialty screen or if the user specifically marks it ‘ Done' ; the status of the template on the Order Sheet changes to ‘ Processed' .

•  The user cannot close an encounter if a Procedure is not done . Procedure status is displayed in red on the Encounter Close screen; along with Prescription , Laboratory or Radiology status.

•  Likewise Procedure button is added on the Assessment screen from where the user can select the Procedural template, which gets added to the Order Sheet .

•  The user can not delete a Procedure from the Order Sheet if it is ‘ Processed' .

 

 

 

Please note that Specialty Template added from Encounter > TOC > Specialty , won't get added to Order Sheet .

 

 

2.14 Order Sheet

 

 

2.15 Patient Reminder

There is an option on the Home Page for Patient Reminders (Hyperlink). When the user clicks on it; a popup is displayed with the following options:

  1. Radio Buttons available are All , Follow Up Appointments , HM due in 15 days and Vaccination due in 15 days .
  2. When a radio button is selected; a list is displayed with options,
  3. •  Email

    •  Phone

 

 

 

Also there is an option for the user to create a reminder independent of any screen. This reminder is user defined and available for that user only. The email reminder is sent to the patients on their email ids entered on the Patient Registration screen.

 

2.16 Prescription

A . Provided a provision to define Patient's preferred pharmacy. The user can select ‘ Preferred Pharmacy' on the Patient Registration screen.

On the Patient Registration screen, there is a button ‘ Pref Pharm' on the top right hand side of the screen. When the user clicks on this button, a popup to select ‘ Preferred Pharmacy' appears; wherein the user can select a maximum of 10 pharmacies.

 

  The above selected pharmacy list is available on the Prescription screen too. On the Prescription screen the ‘ Pref Pharm' button is displayed near the Pharmacy field.

 

 

 

Note:

  1. Against each Pharmacy Name on the Patient Registration > Preferred Pharmacy popup, there is an option to delete the selected pharmacy from the list (by clicking on the delete icon).
  2. The Pharmacy name selected on Prescription > Pref Pharm popup is displayed in the Pharmacy field.

 

 

 

 

2.17 HL7 Transcription Import

PrognoCIS now supports HL7 import of transcription messages which gets attached to other documents in PrognoCIS.

2.18 HL7 Charge Import

PrognoCIS has HL7 interface to import HL7 - DFT messages. If a Billing user on a different system updates some information, the Billing system can export this information and PrognoCIS can import it and update the Assessment section thus keeping the two systems in sync.

  1. Process will only add those ICD/CPT/HCPC codes which are already there in the PrognoCIS and are active. Also, it will not delete those codes which already exist in the encounter, but are not listed in the import file.
  2. If Encounter is already closed, then the codes will still get imported but it will NOT affect the ‘ My Notes' .

 

 

2.19 Patient Merge HL7 Export

A new property ‘ export.MergePatient.createHL7Message ' has been added to PrognoCIS that will process the HL7 Merge Patient Export . If the property is set to ‘ Y ' and when the user clicks on ‘ merge into' button on the Patient Registration screen, then HL7 Merge Patient Export takes place.

 

2.20 Ranges for Text based Lab Results

The lab results have normal or expected ranges listed for test results defined as numeric or fractional. For test results defined ad alpha or text based;

  1. On Test Master screen if Test is of LB type and Result Type for Test is Text , then one input type is added to accept the valid text range for test.

 

2.21 Medication History on Current Medication

The ‘ H ' button is renamed as Medication History and is placed at the top of the screen near the Warning button on the screen Patient > Encounter > Facesheet > Current Medication .

 

 

 

 

 

 

2.22 Multiple Labs Bi- Directional Interface

For Multiple Labs Bi- Directional Interface a new logic has been added. That is, in EMR there is a property ‘ hl7.export.laborder.propertiesfilename ' at the location d:\Interface\labexport\labexport.properties . The file labexport.properties has been modified as explained in the following examples.

  1. If the user has a bi- directional set up for Quest , then labexport_QUEST.properties file is present in the location d:\Interface\labexport . Similarly for BIO- Reference bi- directional set up, property file laxexport_BIOREF.properties should be present in the location d:\Interface\labexport .
  2. All clients have their separate property file.
  3. In source, the value of the property is checked and depending on the vendor code, the property file name is decided.
  4. A new table MST_LAB_INS_CARRCODE has been created. This table contains the data of Insurance Id , Lab Id and Carrier Code .
  5. This table is populated by the TSG team for the tags LOH_LC_CARRIER_PRICODE and LOH_LC_CARRIER_SECCODE . The data is retrieved from the table MST_LAB_INS_CARRCODE .

 

 

 

2.23 Patient Update Information pass to PMS (Patient Export HL7 Custom Segment)

Added a provision to send information on who has updated the patient through HL7 Patient Export message as a part of customized ‘ Z ' segment.

A new property ‘ othermedics.extid.applicable ' has been added under Medics section. If this property is set to ‘ Y ' then the ‘ External Id' field is enabled for Other Medics ( Medical Assistant , Clinical Staff , Admin Staff or Billing Staff ).

A format for ‘ Z ' Segment can be defined in HL7PatientExportParams.properties file can be defined by changing the tags defined in the value of the property named hl7.export.patient.zSegment.format .

 

 

2.24 Explicit generation of HL7 charge export message

Added a new property ‘ export.charge.explicitly.onpostchargeaction ' in PrognoCIS.

  1. When the property is set to ‘ Y ' then a check box with label name " Post Charge " is enabled. If the check box is checked and the save button is clicked then HL7 Charge export file is created.
  2. If the property is set to ‘ N ' then it will hide the ‘ Post Charge' checkbox and the label.
  3. For Billing it shows check box with Label " Create Claims ". If the check box is checked and the save button is clicked then HL7 Charge export file is created.

In case if the user makes changes after charge is posted by above check box and then closes the encounter then by routine call the charge will be reposted or will not be posted depending upon the property ‘ charge.export.only.once '. If the property ‘ charge.export.only.once ' is set to ‘ Y ' in the HL7 ChargeExport.properties file , it will not generate the Charge Export file on reopening of the encounter.

2.25 OCR Card Scanner

Added a provision to scan OCR card and update the information accordingly in PrognoCIS.

Property ‘ prognocis.card.scanners ' is added to define a list of available scanners in the clinic. The user can scan Insurance Card and Driving License with OCR Card Scanner installed on his machine.

OCR Card scanner works with PrognoCIS from two screens Patient Registration and Patient Insurance

Patient Registration

On the Patient Registration screen there is a Card Scan button next to Patient Details.

When it is clicked, Scan UI is displayed with the following information:

There is a check box to Update Personal details, Update Address details, Update Photo. User can check the checkboxes according to the information required to save. At the bottom of the popup ‘Ok' and ‘Cancel' is provided. On click of Ok, selected information is displayed on Patient Registration screen. ‘Save' on patient registration screen will save the information.

 

 

Insurance Card Scan

On Patient Insurance screen there is a ‘Card Scan' button at the top of the insurance card image. When the user clicks it, a popup is displayed with the following information:

Information is updated depending on the selection of the checkboxes. The popup has two buttons, ‘ok' and ‘cancel'.

Click ‘ ok' to display the information on the main insurance screen .

 

2.26 Education Material

Added a new property ‘ patienteducation.checkbox.check ' to control Print/ Brochure/URL checkboxes under Patient > Encounter > TOC > Education .

If the property is set to ‘ Y ', then on screen TOC > Education , the checkboxes Print , Brochure and URL are checked by default; whereas if it is set to ‘ N ' then the checkboxes Print , Brochure and URL are unchecked by default.

 

 

 

 

2.27 Clinic Form

There is a tag ‘ ADD ENC_CCFNOTES ' to display the contents of clinic form notes. A provision is made on the Clinic Form to print a Form Template corresponding to the current Clinic Form Template when Preview button is clicked.

 

The tag ‘ ADD ENC_CCFNOTES ' is used as a part of this template. The tag will not print when used in the Encounter Progress Notes . The other tags can be used in Progress Notes to print notes by default, associated with a template after printing the corresponding test values.

 

 

2.28 Refill Request Message

Added two fields ‘ Last Rx Date ' and ‘ Last No. of Refill ' on the Refill Request Message screen.

When Refill Request comes from Pharmacy and if that refill has the data of prescription (Prescription ID) created for the same patient and drug, then the user searches for a match for that patient and prescription. Once a match is found, then on the Refill Request Message screen the user enters data in the fields ‘ Last Rx Date ' and ‘ Last No. of Refill '.

 

 

In case if a match is not found, the above two fields are blank. Also, an additional field ‘ Last Fill Date ' has been added to this screen which was earlier present in the database only.

 

 

 

2.29 Clinic Form

Added a new feature wherein if the user changes any template a message is sent to certain medics and roles. Roles and Medics are assigned to specific templates from Settings > Configuration > Medics and Settings > Configuration > Role screens.

When the user adds a new template or loads an existing template, then the system populates the view with the Roles/ Medics assigned by default for each template. A notification is sent for Clinic Form when clicked on ‘ Save & Notify '. On clicking ‘ Save & Notify ', a popup is displayed only if there is atleast one template which does not have a default Role/ Medic assigned (even if the template is modified or not).

 

 

The Notify popup has the following parameters:

 

 

 

 

Notification Recipients are Role/Medics Ids returned by Notification popup . In case popup was NOT invoked, Recipients are the default Role/Medics Ids assigned to ALL templates in the Clinic Form whether modified or not.

 

 

2.30 Growth Chart Granularity- RS

Growth Charts help users, to follow a child's growth over a period of time.

The pediatric Growth Charts have a granularity of 1 week . Hence, for the data recorded for a patient every week, there is a point representing it on the patient's Growth Chart. Earlier the Growth Charts had a granularity of 1 month .

 

 

 

 

2.31 Progress Notes - RS

In Patient > Encounter > Progress Notes, for the tags ‘ ENC_REVIEW__LAB$ ' and ‘ ENC_REVIEW__RAD$ '; the ‘ Order No .' and ‘ Dated' are displayed in bold. Earlier they were displayed in plain text.

 

2.32 Grid

The Grid information is now displayed along with the templates in Progress Notes.

When the user selects two templates from the patient encounter and if the first template has a Grid attached to it while the second template does not have a Grid attached to it, then on the Progress Notes , these templates are displayed in the sequence, first template with the Grid and then the second template .

 

 

2.33 Lab Matrices

Earlier the lab matrix values were listed alphabetically and not in the test sequence. The user can now change the order of the results displayed in the lab matrix. The test results are reflected in the same order as the tests given.

 

2.34 Filter button on Open Encounter tab

An option to filter the Refill Requests encounters is provided under filter button on Home Page.

The Refill Request is available under Visit Type in the 'Appointment Filters' popup window.

 

 

 

 

2.35 Dictate Transcribe

The prefix appended for the ‘ Title' on screen Patient > Encounter > TOC > Dictate Transcribe are:

  1. For Facesheet Notes: FS Note
  2. For User Notes: User Note and
  3. For Custom Notes: AttDoc

The value of Facesheet Notes is defined in the properties ‘ facesheet.notes.title1 ', ‘ facesheet.notes.title2 ', ‘ facesheet.notes.title3 ', ‘ facesheet.notes.title4 ', ‘ facesheet.notes.title5 '.

The value of User Notes is defined in the properties ‘ user.notes.title1 ', ‘ user.notes.title2 ', ‘ user.notes.title3 ', ‘ user.notes.title4 ', ‘ user.notes.title5 '.

The value of Custom Notes is defined under Settings > My Preferences > Default .

 

 

 

 

2.36 Appointment Status

A new functionality to add custom status for an appointment is provided. User can define the status based on the clinic's workflow and accordingly status will be displayed on home page.

  1. There is a master screen ( Settings > Configuration ) to add Custom (User Defined) Appointment Status .
  2. Status Code, Status Name, System Status, Sequence Number, Active/ Inactive and Color are the fields to enter for each Custom Appointment status.
  3. Status Code , Status Name and System Status are mandatory fields.

 

2.37 Attach

Multiple roles and medics can be selected to send notification messages in Attach center (this functionality is also present in the Scan screen too).

 

On Message > Attach screen,

  1. There is a multi- select button next to the Message To dropdown list.
  2. On clicking this button a popup to select multiple Roles/ Medics is displayed.
  3. In this popup, the multiple Roles/ Medics are selected in the field Notification To .

 

 

 

 

 

 

 

 

 

2.38 iPad/ Mac/ Android

PrognoCIS now works well with iPad/ Mac/ Android system. Draw Tool (diagrams) and Progress Notes are available with iPad/ Mac/ Android system.

2.39 Surescript 5010A1

PrognoCIS now supports Surescript 5010 communication.

 

 

2.40 Appointments Work Pattern

Added a provision to view multiple encounter types on appointment scheduler.

On screen Appointments > Work Pattern , for a selected Date, Day and Location, the user can now select multiple encounter types for the selected provider for a selected location and day.

Property ' appointment.workpattern.overlap.allow ' is added when set to ' Y ' allows overlap in work pattern.

 

 

 

 

 

2.41 New Role in PrognoCIS

Property 'bizfax.failed.inform.role' added in PrognoCIS for the role FaxFailed which when assigned to a person, they are allowed to receive an auto-Generate message from system if fax is failed.

 

 

3 Bugs

 

3.1 Prescription

Patient > Encounter > Prescription ; wherein if there are any unapproved drugs in the list, then the user (provider) with approve rights can approve all of them by clicking on ‘ Save' .

The ‘ Save' button is enabled only when the Prescription screen has any non- approved drugs in the list. The user (clinical staff) without approve rights can only enter drugs on this screen. But these entered drugs are approved by the provider.

 

Note: For approved drugs , their status is displayed as ‘ Approved' ; whereas for unapproved drugs the status is ‘ Entered' .

 

 

3.2 Document List Header/ Footer printing

Header/ Footer are available in merged PDF and can be printed from Document List . In the Document List the document types present have header/ footer properties as listed below:

  1. In Patient > Encounter > TOC > Document List , when multiple documents are present, user can select each one of them by selecting the checkbox on their row and then clicking on the button ‘Gen PDF' or ‘ Print'. After this, all the documents selected will be merged together into one PDF .
  2. The merged PDF from the Document List will have header/ footer only for those pages that have the PDF header/ footer properties specified.
  3. If PDF header/ footer property is there but empty, then header footer will not appear.
  4. Also if the property ‘ pdf.outputaspdf ' = RX, LB, LR RL, RR, BL, LT, PN then the merged PDF will have the specified header/ footer. For example, if the property ‘ pdf.outputaspdf ' = RX, LB, LR RL, RR, BL, LT except PN , then in the merged PDF, the Progress Notes will not have any header and footer.
  5. Some document types that are merged and occur in the document list do not have header and footer since it is externally attached. For example, Progress Notes > Attach, Letters In > Attach, Lab Results > Attach and Rad Results > Attach .
  6. The templates used for each of the four document type need to be PDF compatible, else they will not have header and footer. For example, for Progress Notes , on the screen Settings > Configuration > Templates > Progress Notes , the checkbox ‘ Not applicable for PDF' should be unchecked.

In Settings > Configuration > Education the user can change the selected file type. On the Patient Education screen, the user can select a Name and attach the PDF or HTML file. Then he can save the changes and the other checkboxes remain enabled. If the user selects any other checkbox and clicks on ‘ save' , then the previous file will be detached and the user can attach a new file.
